This is a critical position within the organization, ideal for someone who is highly organized, adaptable, curious and service-driven with a strong focus on personal assistant responsibilities alongside administrative support.The OpportunityAs the CEO's Assistant your primary focus will be on supporting a wide range of personal and administrative tasks that ensure his day runs smoothly. You will manage personal errands, appointments, and travel, in addition to business scheduling, document coordination, and internal communications. This is an ideal role for someone who enjoys a trusted support position, is resourceful by nature with an inquistive mind, and understands the importane of safeguarding a busy CEO's time. You take pride in your strong time managment and organization skills, and have the confidence and initiative to manage both ad-hoc and consistent tasks. Key ResponsibilitiesCoordinate and manage the CEO's daily personal and professional schedules, including evening and weekend activities when required.Book and manage personal appointments (e.g., health, family, vehicle maintenance, home-related services).Arrange personal and business travel, including flights, accommodations, and itineraries.Handle incoming calls, prioritize communications, and liaise with both internal staff and external contacts on the CEO's behalf.Organize business meetings and meals with clients, suppliers, and consultants.Prepare meeting materials, agendas, and take minutes; follow up on action items.Maintain confidential files and documents for easy accessibility and reference.Prepare and review cheques, expense claims, and related documentation for the CEO's signature.Support the planning and coordination of company and client events.Additional administrative and personal tasks as required.Qualifications15 years of experience as a Personal Assistant, Senior Administrative Assistant, or similar administrative support role.Proven ability to manage both personal and executive-level tasks with discretion and efficiency.Strong organizational skills with excellent attention to detail and accuracy.Professional and proactive communication skills, both written and verbal.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, MS Teams).Tech-savvy and able to learn new systems and tools quickly.Discreet, trustworthy, and committed to confidentiality.Able to work independently, manage multiple priorities, and respond flexibly to changing needs.Willingness to work occasional evenings and weekends when necessary.Annual compensation in the range of $60,000-$75,000 based on experience.
