Position Summary PRI Engineering is seeking a highly organized and proactive Administrator to provide comprehensive administrative support to our team. The ideal candidate will be a self-starter with excellent communication and multitasking skills, capable of managing diverse responsibilities in a fast-paced environment. This role requires strong attention to detail, proficiency in various software applications, and the ability to work effectively under pressure. The ideal candidate will have a strong background in reviewing technical documentation for grammar, conciseness and errors. PRI leverages many technologies and applications in fulfilling its mandate to its customers, and as such the ideal candidate is very comfortable using multiple software programs to complete their tasks and interact with their peers in the organization. 3 Responsibilities Perform word processing tasks, including formatting and editing proposals, reports, presentations, and charts using Microsoft Word, Excel, and PowerPoint. Manage and administer the company''s professional services automation (PSA) software, ensuring data accuracy, generating reports, and supporting user inquiries. Coordinate various material and other shipments both nationally and internationally, including preparing shipping documentation, tracking shipments, and liaising with the company''s customs brokers and logistics providers. Provide general administrative and clerical support, including managing phone calls, scheduling meetings, and maintaining office supplies. Manage and organize several company email inboxes, prioritizing and responding to inquiries efficiently. Maintain and organize physical and electronic filing systems in sharepoint and other cloud applications. Assist with the preparation of invoices, expense reports, and other financial documentation. Support HR-related tasks, such as onboarding new employees and maintaining employee records (as needed). Coordinate travel arrangements for employees. Assist with the planning and execution of company events and meetings. Handle confidential information with discretion and professionalism. Provide ad-hoc administrative support to various departments as required. Thrive in a fast-paced environment and effectively manage multiple tasks simultaneously. Qualifications Proven experience in an administrative role, preferably in the Engineering Consulting or Construction Industries. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience managing professional services automation (PSA) software is highly desirable. Experience coordinating national and international shipments and working with customs brokers and logistics providers is an asset. Excellent organizational and time management skills with a strong attention to detail. Exceptional written and verbal communication skills. Ability to prioritize tasks and meet deadlines effectively. Ability to work independently and as part of a team. Demonstrated ability to thrive in a fast-paced environment and manage multiple priorities. Ability to work effectively under pressure and adapt to changing circumstances. High level of professionalism and confidentiality. Bachelor of Arts or Sciences preferred
