Job Description

We are currently seeking an Estate Administrator to join our Dealer Operations team. This position will be responsible for all the administrations and processing of estate settlements. This highly motivated and energetic candidate will be responsible for ensuring all information and documentation is received in good order for processing. Timely and accurate processing of various financial transactions and inquiries from advisors and clients according to the established service level agreements. As well as assisting in implementing new developments in our current operation.WHAT YOU WILL DOComplete ad-hoc outgoing or incoming EFT and wires to/from the clients financial institution. Ensure EFT in/out are reflected on both RBC Express payment activities reports, as well as internal Back Office systems (PARIO/BMS) via journal entriesProcess all cash and positions internal transfer movements between client accounts held within CIISTaking ownership in ensuring the process of death settlements are complete in a timely manner. Coordinating and collaborating with internal business units to ensure exceptional service is delivered efficiently and effectivelyConduct adequate due diligence and analysis of all financial/transactional request types/ Ensuring proper documentation and authorization is obtained prior to processing.Manage, respond to, and process requests received through the internal Estate mailbox, Salesforce, and Gateway within set SLA.Participate in User Acceptance Testing when requiredHandle set ups and modifications to existing/ongoing systematic transactionsCommunicate with financial advisors and necessary third parties via phone, email, Message serv and/or fax when requiredHandle cleanup reports to ensure all client information is accurately reflected in our recordsAssist with special projects during peak periods as assigned, and contribute to ongoing initiatives undertaken by the department. Ad hoc duties relevant to the position shall be assigned as requiredWHAT YOU WILL BRINGAt least 1 year of experience in the Administrative/Operations/Back-office environment of a Financial Services company or similar capacity is preferred.Post Secondary degree in Business, or relevant field of study or equivalent related business experience in the financial services industry.Completion or Progress on financial services designations and certifications such as PFP, CFP, IFIC, CSC, CPH or other related courses an asset.Progress or completion STEP Designation or Certificate in Estate and Trust Administration is preferred.Experience with CDS, ATON and/or DTC an asset.Strong communication skills, both verbal and written.Proficient with MS Office Suite (Word, Excel, and Outlook).Self-initiated, fast learner with a positive attitude.Organized, detail oriented, and hardworking character.Ability to work in a fast-paced and challenging environment.Excellent analytical and problem-solving skills.Understanding of investing fundamentals and/or Mutual Funds is considered an asset.Strong understanding of Registered Products (RRSP, RIF, TFSA, LIRA, LIF, RESP), Estate/Death Settlement is preferred.Prior data entry/financial transaction processing experience.Extensive knowledge of industry back-office or Operations practices.WORKING CONDITIONSOvertime may be required during peak periods
