Examination and Administration Coordinator (Part-time, 1 year contract) This is a remote position open to candidates across Canada, with an expected commitment of approximately three days per week. Who We Are: The Canadian Organization of Paramedic Regulators (COPR), founded in 2009, is comprised of self-regulating colleges and government regulators of the Paramedic profession in Canada. The purpose of COPR is to facilitate collective and collaborative action in current and future interests of pan-Canadian Paramedic regulation, and to support the development of a common understanding of provincial and federal obligations that may impact regulator functions. COPR administers the paramedic entry to practice examination for seven regulatory jurisdictions in Canada and serves as a point of entry and body responsible for the preliminary assessment of credentials for internationally educated paramedics. The Opportunity: COPR is seeking a professional to join our team as an Examination and Administration Coordinator. This is a remote, part-time, one year contract position. Reporting to the Manager, Regulatory Support, the Examination and Administration Coordinator will be responsible for providing support for the development, administration, and delivery of the examination program, as well as other administrative functions. As an ideal candidate for this role, you possess strong administrative, organizational and communication skills, along with excellent attention to detail, and a high level of professionalism. Key Responsibilities: Examination Responsibilities: Coordinates each exam cycle, according to the exam schedule, including the preparation, implementation, execution and follow-up. Responds to candidate enquiries via telephone and email. Reviews and approves examination applications according to the Eligibility Policy, updating and maintaining applications using CSM software. Ensures examination provider generated communication is accurate and in line with COPR policies and procedures. Provides on-call support on examination days from the time the first candidate starts until the last candidate completes the examination. Provides regular updates on examination status at each stage during weekly staff meetings. Notifies the Manager, Regulatory Support of significant issues that occur on exam day. Conducts video audits on examination day and post examination. Conducts quality assurance review of candidate results and addresses issues within 48 hours of scheduled release of results. Distributes examination results to candidates and regulators based on scheduled release dates/times. Administration Responsibilities: Accurately prepares and distributes documentation. Provides administrative support to the Exam Development Manager when required. Supports committee administration. Includes sending meeting invites, creating meeting agendas, recording meeting minutes and tracking actions. Supports the Senior Exam Coordinator to update the Examination Handbook, Examination Study Guide, and other supporting documents. Works with the Senior Exam Coordinator and Communications Coordinator to ensure the COPR website is updated as required. Creates documents, forms, and templates as required. Effectively manages phone calls and emails. Establishes and maintains courteous and friendly relationships with applicants, testing provider staff, and COPR members. Provides back up for the Senior Exam Coordinator. Other duties as required. Qualifications: Graduate of recognized post-secondary program with a minimum of five years experience in examination practices and/or a regulatory environment, or a combination of education and work experience. Excellent writing and editing skills. Intermediate to advanced knowledge of the Microsoft Office Suite of applications including Word, Excel, PowerPoint, Outlook, and SharePoint. Experience using Customer Success Management (CSM) software is an asset. Must speak, read, and write English fluently. Bilingualism in French is an asset. Excellent organizational, communication and interpersonal skills with the ability to maintain productive, positive and effective working relationships at all levels. Excellent writing and editing skills, including proper spelling, grammar, and punctuation. High attention to detail and commitment to accurate, high-quality work. Adaptable and open to change with the ability to work independently, in a self-directed manner, with minimal supervision, as well as a member of a small team. Commitment to confidentiality. High level of accountability, integrity, and professionalism. Compensation: Salary Range: $43,000$45,000 annually, commensurate with experience and based on a 3-day work week.
