YOUR ROLE As the Virtual Executive Assistant, you will play a key role in supporting theKimspersonal brand, managing client and audience relationships, and ensuring smooth day-to-day operations. Your responsibilities will include: Maintain and manageKimstime, schedules, including calendar management, meeting booking, travel and logistics. Send action emails and replies as requested, prioritizing items, prompting responses, and following up on deliverables.This will include reminders, calendar updates, and other necessary follow-ups. Anticipate support needs and proactively manage with input from Executive. Maintain confidential files and records. SPECIFIC RESPONSIBILITIES Managing and maintaining the client and task database in HubSpot, ensuring accurate and timely updates. Preparing and distributing the weekly newsletter viaMailchimp. Regularly updatingKimswebsite with new articles, newsletters, podcast episodes, and webinar recordings. Coordinating bi-monthly webinars from end to end: scheduling, promotion, managing registrations and payments, and post-event follow-up. Edit and draft documents and PowerPoint presentations for keynotes, webinars, and other speaking engagements. ManagingKimscalendar and meetings, ensuring efficient scheduling and preparation. Coordinating travel arrangements, including flights, accommodations, and itineraries. Handling daily email communication with clients, collaborators, and colleagues in a professional and timely manner. Supporting event planning efforts for special projects such as in-person retreats, meetings, or private events. PromotingKimspersonal brand on social media platforms, including LinkedIn, YouTube, Instagram, and TikTok, with a focus on professional engagement and brand consistency. Providing ad hoc administrative support and jumping in where needed to help keep everything running smoothly. QUALIFICATIONS Post-secondary education in any transferable field of study business administration, marketingor related field preferred. A minimum of 2 year related executive assistant related experience. Demonstrated experience working alongside and providing excellence in administrative and project management support to executives. Proficient in tools: Outlook, Powerpoint, Zoom,Hubspot, Vimeo,Calendly, Canva, Gamma, ChatGPT,Grokand MailChimp. Flexibility, ability to pivot and manage competing priorities in a fast-paced environment. Strong work ethic, ability to exercise discretion,initiative, clear but sensitive communication and work independently. Excellent attention to detail and analytical skills. Ability to maintain the confidentiality of sensitive information. Excellent verbal and written communication skills including the ability to write clearly and succinctly in a variety of communication settings and styles; communicate with technical and non-technical users. Tech-savvy with superior organizational and time management skills.
