Job Description

Reporting to the Project Accounting Supervisor, the Office Administrator will handle administrative duties coordinating and managing the front entrance, reception area, and boardrooms at GIP's Caledon Office.Please note this is a 6 month Contract position.Primary Scope of Role:Attend to visitors at the front desk.Keep the front entrance, reception area, and boardrooms neat, tidy and presentable at all times. Provide support for boardroom meeting bookings and ensures smooth connectivity for users. Provide assistance as requested for general admin (PowerPoint presentations/Office Flyers)Scan and file documents (eg. WSF/Packing slips/Lab Reports/etc).Process Account Payables, obtaining required approvals for AP invoice processing.Follow up with Customers for paymentsCoordinate office administration matters (e.g. janitorial services, maintenance, social events, etc.). Monitor and replenish the office supplies inventory.Maintain and replenish the kitchen area ensuring they are stocked and tidy. Prepare mailing or courier requests.Establish and maintain relationships with key vendors (cleaning, maintenance, supplies, couriers) to ensure high quality services. Support travel booking and expense processing as required.Maintain and organize all related filing systemsOther related general administrative duties as required.Position Requirements:Post-secondary education preferredKnowledge of JDE would be preferredGood Communication to deal tactfully and assertively with customers, co-workers, project managers and senior staff Strong attention to detail Must be highly organized and able to multi-task Strong computer skills, proficiency in MS office specifically Excel, Teams, Word and PowerPoint.Exhibit a strong work ethicResults-driven with an ability to deliver success in a fast-paced environment.
