This unique role requires a dynamic leader with a proven record in operational management, process optimization, and team development. Flexible Health Spending CreditsEnrolment in Qubes RSP programOther Benefits: Headphone Credit, Cell Phone Benefit, Transit CoverageQualifications:MBA or equivalent senior-level experience in business operations, strategy, or administration is required.35 years of experience in operations, office management, or business administration, preferably in professional services or a financial firm.Experience leading cross-functional teams and managing administrative processes at a company-wide level.Proficiency with CRM systems (Zoho, Salesforce, HubSpot, etc.) to troubleshoot basic technical issues and support automation/process development.Prior experience in HR coordination, including recruitment, onboarding, and policy implementation.Strong project management skills with the ability to set priorities, meet deadlines, and manage multiple projects simultaneously.Familiarity with budgeting, invoice/bill tracking, and vendor/facility oversight.Strong written and verbal communication skills to develop professional reports and liaise effectively with leadership.Proactive mindset with a track record of improving operational systems and driving process improvements.Interest in or experience with business development, innovation projects, or private equity is a plus.About YouHighly organized, detail-oriented, and resourcefulAdaptable and comfortable in a dynamic, growing small businessValues collaboration, continuous learning, and high performanceResponsibilities & DutiesHR, Leadership & Team ManagementFacilitate staff huddles, 1:1 check-ins, team lunches, and quarterly performance reviewsOversee recruitment, onboarding, offboarding, and day-to-day HR requestsSupport and enhance Qubes Student Analyst ProgramFoster a culture of accountability, collaboration, and continuous developmentCollaborate with senior leadership to shape and implement strategic goalsProvide data-driven insights and recommendations for decision-makingManage external marketing contractors and review communicationsDeliver monthly updates and reports to the UDP and managing partnersOperations & Administrative ManagementDefine and execute operational goals aligned with the companys strategic planManage Qubes two facilities, including maintenance and administrative functionsOversee dividend distributions, rent, and bill paymentsEstablish and uphold scalable, efficiency-focused internal policiesLead event planning, including vendor coordination, marketing, and executionCRM Development, Tech Support & Process ImprovementTrack KPIs through the CRM and engage staff on enhancements and concernsMonitor internal deal flow and identify growth opportunitiesMaintain and evolve CRM blueprints, automations, and custom scriptsTroubleshoot CRM-related issues, including automation errors and tech support needsSpecial ProjectsPotential to contribute to Qubes Private Equity team, participate in additional business development decisions, and/or tackle special innovation projects.How to ApplyPlease email a cover letter and resume with the subject line: Attn: Operations Manager to kennedy@qubeinvest.caWhile we appreciate the interest of all applicants, we will contact only those selected for interviews.
