Job Title: Administrative AssociateLocation: Remote, with occasional in-person meetings or events Reports to: Project Operations Manager Employment Type: Full-time (37.5 hours/week) Salary Range: $46,000 to $52,000 per year, plus benefits Start Date: Early July, 2025BackgroundThe National Autism Network (the Network) is a new, independent, community-led initiative supported by government funding. It was created to ensure that Autistic people and their families play a central role in shaping community priorities and driving action to bring Canadas Autism Strategy to life.The Network brings together Autistic people, families, subject matter experts, and interest-holders from across the country to help shape a future where Autistic people can truly thrive in Canada.Position SummaryWe are looking for an Administrative Associate who will help keep the Network organized and running smoothly. You will support the Chief Executive Officer (CEO), Project Operations Manager, other staff, and the Board of Directors with a range of tasks, such as scheduling meetings, organizing documents, and helping with internal communications.We are looking for someone who is organized, proactive, dependable, detail-focused, has excellent verbal and written communication skills, and is interested in learning and contributing.This is a great role for someone who enjoys supporting others and being part of a mission-driven team.What to Expect in This RoleThis is a remote-first/ work from home job. Most communication will take place through email, video calls (e.g., Teams and Zoom), messaging, and shared documents using Microsoft 365 and Teams.The work schedule is Monday to Friday, 37.5 hours per week, and can be set anytime between 8 a.m. and 8 p.m. in your local time zone, depending on what works for the person and the team.There will be regular check-ins with your supervisor.Occasional travel may be required for in-person meetings or community events.Key ResponsibilitiesAdministrative SupportProvide day-to-day administrative support to the Chief Executive Officer, the Project Operations Manager and Network staff, including scheduling meetings, managing calendars, and handling correspondence.Organize internal and external meetings, including scheduling, sending invites, virtual meeting setup, and material preparation.Maintain and organize internal files and documents.Take meeting notes at Board and Network meetings and ensure follow-up tasks are documented.Board and Governance SupportHelp schedule and prepare materials for Board and committee meetings, including drafting and distributing agendas and meeting materials.Take accurate minutes and help track action items.Communications and ReportingHelp draft and format internal documents, reports, and presentations.Assist with tracking work plan progress and updating reporting documents.Support the preparation of reports, briefing materials, presentations, and external and workplan updates. Collaboration and CoordinationAct as a point of contact for general questions or requests between the Network and external interest-holders and collaborators.Support smooth communication and collaboration between the Network staff.Contribute to a respectful and inclusive work environment.Support special projects as assignedWhat We Need Skills and QualitiesNote: You dont need to meet every qualification to apply if you see yourself in this role, we encourage you to apply.Good communication skills (writing, email, video calls, etc.).Comfortable using tools like email, Zoom, Teams, and Microsoft Word or Excel.Organized, with good time management and attention to detail.Able to adapt to expected or sometimes unexpected changes (e.g. changes with deadlines or organizational milestones).Able to complete tasks independently but also work well with other people.Willingness to solve problems independently before seeking additional assistance. These are considered assets:First-, second-, or third- person lived/living experience with autism (i.e., identify as an Autistic person; is a Family member of an Autistic person; or have supported Autistic people).Experience working in a nonprofit, advocacy, or community-based organization.Experience supporting a Board or senior leadership team.Familiarity with accessible communication or neurodiversity-affirming practices.Ability to communicate in French and English.Experience with platforms like SharePoint, OneDrive, or scheduling tools.Qualifications & ExperiencePostsecondary education in administration, communications, or a related field, or equivalent experience.Minimum 23 years of experience in an administrative or coordination role, preferably in a nonprofit or team-based setting.Excellent verbal and written communication skills, with demonstrated ability to prepare professional correspondence, reports, and meeting minutes.Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.Comfortable using Microsoft Office, Teams, Zoom, and open to learning new digital tools as needed.Proven ability to work collaboratively within a team and maintain professionalism in interactions with internal and external stakeholders.High level of discretion and confidentiality, particularly when supporting Board and governance-related activities.Language of WorkThe National Autism Network is a bilingual organization committed to making all public communications and resources available in both French and English, in recognition of Canadas official languages.As a small and growing team, our day-to-day operations, internal communications, and interviews are currently conducted in English. For this reason, fluency in English is required for this role.French language skills are considered a strong asset, especially for positions that involve national engagement or communication with the public.
