We are currently seeking a detail-oriented and highly organized **Properties Administrator** to join our dynamic Property Management team in Courtenay, BC. This is a full-time, office-based role working Monday to Friday, 8:00 AM to 5:00 PM (40 hours per week). The ideal candidate will bring previous office experience, strong administrative and computer skills, and the ability to manage multiple priorities in a fast-paced environment. If you''re proactive, professional, and thrive in a busy environmentwe''d love to hear from you! **Key Responsibilities** General Office Duties: * Answer and direct all incoming phone calls in a professional and courteous manner. * Greet and assist guests, visitors, and tenants entering the office, addressing general inquiries with a focus on delivering an exceptional customer service experience. * Coordinate, receive, and distribute all incoming and outgoing mail and courier deliveries. * Oversee general office upkeep, including ordering and managing office supplies, equipment, and stationery for new properties. * Order business cards and property signage as required. * Support weekly recycling efforts and contribute to the overall cleanliness and organization of the office. Property Management Support: * Follow up on rental inquiries and incoming leads to support leasing efforts. * Manage the administration email account, including collecting, organizing, and filing documentation. * Respond to rental leads and inquiries via email in a timely and professional manner. * Conduct monthly audits of the company website and third-party rental listings to ensure accuracy and consistency. * Coordinate the collection and uploading of updated building, show suite, and exterior photographs upon completion of landscaping. * Issue and track tenant and visitor parking passes. * Assist with rent-up activities by preparing startup documentation, equipment, and materials for new buildings. * Set up and manage new email accounts for each project or building as required. * Conduct monthly file audits to ensure compliance and accuracy across property files. * Assemble and organize tenant welcome packages or gift bags for events and building launches. * Perform other related duties as assigned to support the ongoing needs of the organization. Responsibilities may evolve over time based on business priorities and operational requirements. **What you need to bring:** * Minimum 2 years working in an administrative role and office environment; * Exceptional administrative and organizational skills, including the ability to prioritize workload; * The ability to multi-task and adapt to an always changing environment; * Excellent interpersonal, written, and verbal communications skills; * Comfortable working with technology and proficient in MS Office (Word, Excel, PowerPoint and Outlook); * Ability to establish and maintain effective working relationships with staff at all levels of the organization; * Friendly and positive attitude; * High level of initiative and sense of urgency; * Attention to detail and time management. * Comfortable with evolving priorities and dynamic work settings. **What do we offer you?** Finding and retaining the right people is very important to us.
