**THE UNITED COUNTIES OF LEEDS AND GRENVILLE** **PARAMEDIC SERVICE invites applications for:** **COMMUNITY PARAMEDIC SERVICES** **Substance Use and Addictions Program** **Administrative Assistant TFT** **Temporary Full-time** **Start Date: ASAP** **2025 Salary Grid 3: $28.87 $34.96** **Location: Brockville, Ontario** **POSITION SUMMARY:** Reporting to the Superintendent of Community Paramedicine and SUAP Project Coordinator, the full-time Administrative Assistant will provide administrative support including interacting with the public, managing patient referrals, creating electronic patient profiles, answering phones, data entry and database maintenance, patient documentation management, support for developing presentation material, tracking key performance metrics, and other day to day clerical functions of the SUAP project. **QUALIFICATIONS:** * Post-Secondary in a Healthcare or Office Administration, Social Services, or Health Sciences preferred. * Minimum 3 years of experience in a related field. * Strong community awareness, and effective relationship-building with internal and external stakeholders. * Advanced computer skills with database and spreadsheet programs (Excel), word processing programs (MS Word), and presentation programs, PowerPoint, Canvas, Publisher, etc. * Ability to effectively and efficiently learn new technologies and applications. * Effective interpersonal communication (both written and oral), established organizational skills, the ability to set priorities, prioritize, and delegate high level work under tight timelines. * High level of initiative, resourcefulness, and independent judgement. * A clear demonstrated commitment to diversity, equity and inclusion. * High level of computer proficiency for all relevant divisional software. * Strong sense of confidentiality and tact when dealing with sensitive personal health information. * Strong attention to detail and the ability to proof-read effectively. * Ability to remain composed during time-sensitive, stressful, and fast-paced situations. * Ability to work flexible hours, such as evenings and weekends, given program demands. * Possess a comprehensive knowledge of community agencies/organizations. * Valid Criminal Records check recent within 6 months. **SUMMARY OF POSITION RESPONSIBILITIES:** * Ensure that ongoing work with clients and co-workers is conducted in a manner that is respectful and demonstrates a strong customer service philosophy. * Process information requests utilizing third-party database resources and create/maintain tracking systems as requested and/or required. * Demonstrate sensitivity and responsiveness to the needs of the clients and community. * Support for staff scheduling with regular analysis of system data to identify trends and preparation of related reports. * Process information requests utilizing third-party database resources and create/maintain tracking systems as requested and/or required. * Perform research and analysis on legislation, policy and information documents, as assigned. * Prepare correspondence and other required internal and external communications, notices and reference documents in consultation with the Project Leadership. * Perform regular updates to the online calendars and schedules. * Prepare and maintain documents related to timesheets. * Prepare and maintain documents related to Ministry reporting. * Ensure adherence of branding to all standard communication formats. * Order and maintain office equipment and supplies. * Perform file maintenance, scanning of documents, and tracking records. * Assist with the preparation of agendas, minutes, and resolutions for Committee meetings, as required. * Assists in preparing and distributing advertisements and public notices as assigned. * Responsible for main reception functions including responding to telephone, walk-in and email inquiries, faxes, and directing these inquiries to the relevant department or individual staff person. * Responsible for receiving, sorting, date-stamping and distributing incoming mail and documents. * Other related duties, as requested and required. * Multi-task effectively with frequent interruptions/competing responsibilities. * Work collaboratively with peers and community partner agencies to promote and support the programs delivered and to maintain a working knowledge of available resources to best serve, support and direct clients. * Support access to harm reduction services, health care services, substance use treatment in support of the projects annual work plans. * Work with project leadership to support individuals discharged from local service agencies, hospitals, treatment facilities and correctional facilities, who identify as experiencing ongoing mental health, substance use and homelessness.
