Our client, a well-respected regional law firm located in downtown Toronto, is currently seeking a Document Specialist to join their dynamic and growing team. The firm offers a uniquely collegial and collaborative work environment, similar to that of a boutique firm, yet supported by the infrastructure and resources of a larger organization.The Role:Reporting to the Supervisor of Legal Support Services, the Document Specialist will be a key member of the Document Services team. Working in a fast-paced and collaborative setting, this role involves supporting the preparation, revision, and management of complex legal documents across multiple practice areas, with a focus on litigation and corporate law.Key responsibilities include:Creating, revising, and formatting documents in accordance with firm templatesTroubleshooting document formatting issuesConverting PDF files to Word or Excel, and cleaning up formatting as neededRepairing corrupt Word documents and ensuring consistency with firm standardsCreating and modifying Excel spreadsheetsPreparing PowerPoint presentations using firm templates, including adding animationsPerforming document comparisonsCreating PDF packages with hyperlinksManaging and prioritizing requests submitted to the Document Services inboxProviding administrative support such as entering dockets (3E), submitting expenses, preparing cheque requisitions, and updating client contact recordsCoordinating workflow and assignments within the Document Services teamTranscribing digital or tape dictationsThe Offer:The firm provides a competitive compensation package reflective of experience, along with a comprehensive benefits plan, generous paid time off, and a hybrid work model. Please note, this is an afternoon shift position, with hours from 11:30 a.m. to 7:30 p.m.The Ideal Candidate:The ideal candidate brings at least 2 years of experience in a document production role within a legal setting. You hold a Legal Assistant Certificate from a recognized institution and demonstrate a high level of skill in formatting, editing, and troubleshooting large legal documents. Proficiency with Microsoft Office 365 and Kofax PDF tools is essential.
