This pivotal hybrid role will provide comprehensive administrative and legal support to our Chief Financial Officer. The successful candidate will be a cornerstone of the CFO's office, ensuring seamless operations through expert management of legal documentation, corporate filings, complex scheduling, and high-level administrative tasks. The ideal candidate will bring a strong background in a legal or corporate law environment, exceptional attention to detail, and the ability to manage multiple competing priorities with the utmost professionalism and discretion. This is a unique opportunity to become an integral part of a forward-thinking investment firm.ResponsibilitiesLegal Administrative Support (50%)Assist in the formatting, proofreading, and finalizing of legal documents, including but not limited to, limited partnership agreements, subscription agreements, non-disclosure agreements, shareholder resolutions, and various regulatory filings.Diligently maintain and organize corporate records, including corporate minute books, governance documents, and internal legal databases, ensuring they are current and readily accessible.Act as a key liaison, coordinating with external legal counsel and internal stakeholders to ensure the timely and accurate execution of legal documents.Provide support in the preparation of key investment documents such as offering memorandums, subscription agreements, and other related materials.Manage the process for entity formations and oversee regulatory submissions to platforms such as SEDAR and SEDAR+, while meticulously tracking compliance deadlines.Take ownership of document closing checklists and the compilation of comprehensive closing binders for various transactions.Executive Administrative Support (50%)Provide direct and sophisticated administrative support to the CFO, including proactive calendar management, coordination of complex travel itineraries, and seamless logistical planning for all meetings.Independently draft professional and polished correspondence, and support the creation of high-impact presentations and board-level materials.Coordinate all aspects of internal and external meetings, from scheduling and agenda preparation to diligent minute-taking and tracking of follow-up actions.Uphold the highest level of confidentiality while managing sensitive legal, financial, and business information.Assist in project coordination and facilitate clear and effective communication across various departments as required.QualificationsA Legal Assistant diploma, or equivalent post-secondary education is preferable.A minimum of 5+ years of combined, progressive experience in a legal administrative and/or executive assistant capacity.
