Position Overview: We are seeking a highly organized, proactive, and adaptable individual to provide comprehensive administrative support to the Managing Director of Broking and the Chief Operating Officer (COO) of North America. As the Executive Assistant, you will be responsible for managing the day-to-day needs of the Managing Director and COO, while also providing general administrative support to senior members of their respective teams. Your ability to handle multiple tasks with discretion, efficiency, and attention to detail will be key to your success in this role. Strong communication skills are a must. The position will be based in Toronto and will report directly to the Chief Operating Officer, North America. Essential Duties and Responsibilities: Primary Responsibilities: Extensive Calendar management Coordinate with global offices to schedule meetings, book conference rooms, and prepare detailed itineraries as required, ensuring all commitments are prioritized and deadlines met. Travel management coordinate travel bookings directly with airlines, hotels, car rental services, etc., ensuring arrangements are cost-effective and in compliance with the companys travel policy; create and provide detailed travel itineraries. Prepare and submit expense reports through the companys online system, ensuring timely submission and accuracy. Serve as the primary point of contact for internal and external stakeholders on behalf of the Managing Director and COO. Manage and coordinate client (and/or internal) events or visits by collaborating with the team on logistics, creating detailed itineraries and agendas, welcoming clients/guests, and overseeing all catering arrangements. Prepare and coordinate documentation, presentation, and correspondence for meetings and strategic initiatives. Prepare and provide minutes during meetings as required. Collaborate with the Receptionist/Office Manager as needed. Participation in Social and Charity initiatives, assisting with company events and supporting marketing initiatives in the Toronto office. Ad hoc special projects as required. Team Support Responsibilities: Provide general administrative support to senior members of the Broking and Operations teams, including meeting coordination and document preparation when required. Assist with organizing team events, conferences, and client-facing engagements. Assist with the preparation of client presentations, documentation, and reports, including formatting, printing, binding and distribution for Brokers and wider team as required Maintain a list of restaurant and event venues to ease coordination of client lunches/dinners/drinks or other events. Liaise with clients, reinsurers and other stakeholders with necessary communications as required Education and/or Experience: Bachelors degree preferred, but not required Proven experience as an Executive Assistant, Team Assistant, or in a similar administrative role. Strong administrative skills with excellent attention to detail and a high level of accuracy Proficient user of Microsoft Office (Word, Excel, Outlook and PowerPoint) Ability to work autonomously and take ownership, to prioritize a busy and varied workload for a number of different stakeholders at any one time Exceptional organizational, planning and communication skills, both written and verbal. Excellent attention to detail, with the ability to maintain a high level of accuracy. Ability to take ownership and responsibility for tasks, with enthusiasm and drive. Ability to take initiative when necessary and remain focused under pressure. Ability to work independently and prioritize tasks effectively. Comfortable and capable of communicating with all levels of people within and outside the business both written and verbally with a high level of professionalism Maintain strict levels of confidentiality and exercise discretion at all time Proactive and able to work effectively under pressure Confident and professional manner Effective team player, with a can-do and collaborative attitude.
