Job Overview We are seeking a skilled Production Planning Coordinator to join our team. In this critical role, you will ensure the accurate and timely execution of material take-offs based on project designs and specifications. This multifaceted position requires a strong understanding of construction drawings and materials, as well as a meticulous attention to detail. Proficiency in Excel, Bluebeam, Fieldwire, and MS Project is essential for success in this role. Key Responsibilities Create and maintain accurate and up-to-date bill of materials (BOM) for all projects required for production while focusing on lead times, and material specifications. Collaborate with engineering, manufacturing, and purchasing teams to gather information on products and ensure the change management process is executed. Ensure the BOM reflects the most current design and engineering specifications. Verify the accuracy of BOM data by including part numbers, quantities, and descriptions. Create new item codes when introducing new products and materials. Regularly audit and update BOMs to reflect changes in product design or manufacturing processes. Act as a liaison across all departments to facilitate effective communication regarding BOM-related matters. Collaborate with cross-functional teams to resolve discrepancies or issues related to the BOM. Identify opportunities and obtain feedback from other teams to improve the process, efficiency, and accuracy for BOM management and implementation. Review construction drawings to locate and identify material specifications and quantities. Assist in project planning, working closely with production managers and senior production managers in the preparation of plant flow and logistics plans. Open/close RFIs and record and maintain all BOM-related logs. Coordinate periodic photographs for relevant records. Track and manage change notices and change orders in the database. Collaborate with sales and project management to create detailed MS Project schedules for proposals and awarded projects. Track project progress at various stages and communicate with internal stakeholders. Evaluate business activities against established standards and ensure adherence to the highest ethical principles and company policies. Requirements Post-secondary education in a related field. Engineering or construction-related diploma or degree. A minimum of 2+ years of experience in project planning and coordination in a construction or manufacturing environment, preferably in modular construction. A general understanding of vendor material confirmation documents, packing slips, and invoices. A self-motivated individual who can excel independently and manage own projects and deadlines. The ability to manage a fluctuating workload and set priorities to meet deadlines and maintain a positive relationship with the production team. Exceptional analytical and problem-solving skills. Strong interpersonal and written/verbal communication skills. Proficiency in MS Office applications, including SharePoint, Excel, PowerPoint, and Word. A strong technical aptitude, ability to read construction drawings, technical specifications, and perform material take-offs. Familiarity with Fieldwire and BlueBeam is preferred. In-depth knowledge of MS Project is an asset.
