This role ensures timely and compliant payroll execution, handles employee inquiries, and maintains up-to-date records related to compensation and benefits. The specialist collaborates with HR, finance, and external vendors to support smooth operations, ensure legal compliance, and contribute to employee satisfaction through effective benefits communication and service delivery. Strong attention to detail, confidentiality, and knowledge of payroll systems, tax regulations, and benefit policies are key to success in this position.Key ResponsibilitiesResponsible for the accurate and timely processing of both semi-monthly and bi-weekly Union and Non-Union payroll for employees based across five Provinces in Canada (ON, BC, QC, MB, AB) using ADP Workforce. Act as the main point of contact for employees and management by assisting with queries and resolving issues in a timely manner as it relates to payroll & benefits.Prepare employee forms (verification of employment, income tax forms, ROEs, T4, RL1, T-2200 and all benefits-related documentation) Administer employee group benefits including employee benefit enrolment, salary and benefits, changes update and terminations and guiding employees through the enrollment process for company benefits.Maintain and update personnel records in internal systems to ensure accuracy and compliance with applicable laws and regulations across multiple jurisdictions. Coordinate with finance and leadership for preparing month-end and year-end payroll reports, reconciling credits/debits, etc.Educate employees on payroll processes, benefit plans, and policy changes Coordinate with third-party payroll and benefit providers Administration of expenses and expense report system Reconciliation and balancing of payroll data against third-party providersEnsure compensation and benefits practices comply with federal and provincial laws and regulations including remittances, withholding exemptions, taxable benefits, etcPartner with HR, finance, and legal departments to develop and revise compensation policies and procedures.Prepare and deliver compensation and benefits reports and presentations to leadership.Support annual performance and salary review processes, including incentive programs, merit increases and company bonuses.Participate in compensation surveys and interpret results for strategic planning.Ensure accurate calculation of wages, tax withholding and company deductions.Perform audit of payroll data prior to completion using a variety of reports, analysis, and validation of payroll processing results.Assist with Provincial legislative and statutory reporting regarding EHT, WSIB, WCB, WorkSafe BC, CNESST, etc.Review existing payroll processes and recommend changes with a focus on process improvement and system enhancements / optimization.Responsible for tracking accurate vacation time off.Responsible for providing information related to payroll inquiries from Service Canada, CRA and Stats Canada surveys for all Payroll items.Conduct regular audits of compensation practices to identify and address potential regulatory compliance gaps.Other related responsibilities and special or ad hoc projects, as assigned.Qualifications Required5+ years of payroll processing and benefits administration experience in multiprovince. Post-secondary education in accounting, finance or related field with Payroll Compliance Practitioner (PCP) certification preferred or proof of working towards the designation (Payroll Leadership Professional (PLP) designation awarded or near completion would be an asset).Professional certifications such as CCP (Certified Compensation Professional) or CEBS (Certified Employee Benefit Specialist) are a plus.Strong understanding of payroll tax regulations, compliance, and financial reporting. Solid understanding of compensation strategy, job evaluation, pay structures, and employee benefits.Familiarity with ADP WFN and compensation management systems Strong analytical and problem-solving skills.Excellent communication and interpersonal skills.Experience with salary benchmarking tools and compensation data providers (e.g., Mercer, Radford, PayScale) and asset.In-depth knowledge of Canadian federal and provincial payroll regulations in Ontario, Quebec, Manitoba, Alberta and British-Columbia.Ability to manage sensitive data with confidentiality and integrity.Understanding of and completion of all year-end financial requirements (T4's adjustment) and regulatory taxation and legislative requirements, including the application of taxable benefitsBenefit management experience including the annual renewal processResponsible, independent, and self-motivated.Skilled in using spreadsheets including formulas, pivot tables, data validation and other relevant software applications (e.g. Microsoft Excel). Exceptional organizational and time-management abilities, with the capacity to meet strict deadlines.Capacity to manage confidential information with integrity and discretion.
