This pivotal role will be responsible for the seamless execution of our conferences and events from setup to breakdown, ensuring an exceptional experience for all attendees, speakers, and partners. If you thrive in a fast-paced environment, possess excellent problem-solving skills, and are passionate about creating memorable event experiences, we encourage you to apply!Key Responsibilities:Pre-Event Planning & Logistics:Collaborate with the event planning team to understand event objectives, schedules, and logistical requirements.Assist with vendor coordination (e.g., catering, transportation) as needed.Prepare and organize all on-site materials, including registration packets, signage, and promotional items.On-site Execution & Management:Serve as the primary point of contact for all on-site operational aspects during events.Oversee venue setup, including registration areas, meeting rooms, exhibition spaces, and catering stations.Manage and direct on-site staff and volunteers, ensuring all tasks are completed efficiently.Coordinate with venue staff and vendors to ensure all services are delivered as planned.Troubleshoot and resolve any on-site issues or emergencies promptly and professionally.Manage attendee flow, registration, and information desk operations.Ensure all AV equipment is functioning correctly and provide basic technical support or escalate as needed.Oversee catering arrangements, breaks, and meal services.Monitor event progress, ensuring adherence to the schedule and addressing any deviations.Speaker & VIP Support:Assist speakers and VIPs with their needs, including technical setup and logistical support.Ensure speakers are in the right place at the right time and have all necessary resources.Post-Event Activities:Oversee event breakdown and ensure all rented equipment is returned.Assist with post-event reconciliation and reporting as required.Gather feedback and contribute to post-event debriefs for continuous improvement.Qualifications :Education:Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or a related field preferred. Relevant certifications or equivalent work experience will be considered.Experience:12 years of hands-on experience in coordinating or managing events, or in a related position.Background in organizing conferences, trade shows, or business events is a strong advantage.Fluency in English is required; knowledge of French is a plus.Skills:Exceptional organizational and time management skills with a keen eye for detail.Strong problem-solving abilities and the capacity to remain calm under pressure.Excellent interpersonal and communication skills (written and verbal) for interacting with diverse stakeholders.Ability to work independently and as part of a team in a fast-paced, demanding environment.Proficiency in event management software/tools (e.g., Eventbrite, Cvent, etc.) is a plus.Proficiency in Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint).Attributes:Proactive, resourceful, and adaptable.Customer-service oriented with a positive attitude.High level of professionalism and integrity.Ability to lift and move event materials as needed.Working Conditions:This role requires significant travel to various event locations.Ability to work irregular hours, including evenings and weekends, particularly during event periods.Ability to stand, walk, and lift moderate weight for extended periods during event setup and execution.The expected start date for this position is August 25, 2025, or earlier, depending on candidate availability.
