The Project Coordinator leads key components of the Transformation Offices priority initiatives, regularly provides recommendations to the Director and contributes to strategic decision-making and progress reporting. This role includes chairing working groups and overseeing cross-departmental project alignment. The role provides coordination and advanced support on established priority projects with the HPEI Transformation Office requiring management, administrative support, policy research, communication liaison and partner engagement. The role contributes to the success of high-impact strategic initiatives by assisting in planning, monitoring, and execution of project components, while working closely with multidisciplinary teams. Duties: Assists with the development of workplans for working groups supporting the Transformation Office and Health PEI. Provides informal direction and task coordination to multiple working group members across disciplines Oversight of the development of project work plans and ensures alignment with department-wide strategic priorities Lead and motivate problem solving techniques to respond to challenges and needs of working group and multiple project team(s) Promoting and ensuring a quality improvement culture for all working groups to ensure programs maintain current and relevant, and processes are efficient and effective, as well as client centred. Assists with development of agendas, including preparing confidential materials and issue notes for executive decision making to distribute prior to meetings Organize and prepare materials for all assigned projects and as needed within the Transformation Office. Coordinates logistics and documentation for interdepartmental and external stakeholder meetings. Ensures proper storage of working group and project materials and maintains shared drives in accordance with RIM standards Writes and formats key messages from each working group session and distributes to all staff via email communications, organizes posting of Project updates at office locations and websites. Drafts executive briefings, summary reports, and communication materials tailored for senior audiences Ensuring project components are on track to meet goals and objectives Using verification techniques to manage changes in project scope and schedule, e.g. such as dashboards Providing policy research and presenting summaries to project teams and decision makers to ensure evidence informed decision-making Plan and organize informational and engagement focus group sessions Prepares presentations for staff meetings on project/ working group updates Consolidates stakeholder input into clear, concise presentation materials to support project decisions and public reporting Minimum Qualifications: University Degree in Business or Public Administration, Health, Social Science, or relevant degree required. Knowledge of project management; design and development; monitoring and reporting. Experience working within government system and health systems to support cross-departmental initiatives and partner engagement. Considerable experience providing meeting preparations and maintaining proper documentation for timely distribution Experience with public speaking Some experience and ability to research, analyze and synthesize related topics. Experience and ability for producing written communication materials Excellent communication (verbal and written), interpersonal, organizational, decision-making, editing and formatting, facilitation, and collaboration skills. Strong program management skills. Must have good learning skills, be capable of independent work, have initiative and good self-regulation As travel throughout the province may be required, applicants must have a valid drivers license Other Qualifications: CAPM Certified associate in project management as asset. Familiar with government operations, policy cycles and stakeholder coordination in PEI Organizational ability including attention to details and managing multiple priorities required. Must be able to work independently and in a team environment Experience with MS Office Suite including Word, Excel, PowerPoint required Experience in facilitating, planning and implementing projects would be an asset Course work or training in Project Management, Quality Improvement processes and Change Management is preferred.
