If you enjoy blending logistics with people-centered thinking and thrive in environments that reward initiative, adaptability, and AI-savvy problem solving, this role is for you.Key ResponsibilitiesOffice Management & Workplace Experience (4050%)Serve as the operational and cultural lead for both Toronto and Mississauga offices, ensuring spaces are safe, fully stocked, welcoming, and aligned with brand values.Manage vendor relationships (e.g., cleaning, catering, office supplies, maintenance) and associated budgets.Coordinate daily food and catering programs in collaboration with culinary partners, with a focus on quality and employee feedback.Oversee space usage, meeting room scheduling, signage, and layout adjustments in partnership with IT and facilities.Lead programming and logistics for team events, seasonal celebrations, leadership offsites, onboarding tours, and other engagement moments.Act as a central connection point for cross-functional teams, HR, TA, and Executive Support to ensure smooth office and employee operations.Executive Support (4050%)Manage complex calendars across time zones, proactively resolving conflicts and aligning with shifting priorities.Prepare briefing materials, draft communications, presentations, and meeting notes on behalf of executives.Coordinate domestic/international travel with attention to cost, detail, and contingencies.Act as liaison to internal teams and external partners with professionalism and discretion.Monitor operational rhythms and support all-hands meetings, surveys, budget cycles, and executive deliverables.Attend key meetings to capture action items, track follow-ups, and keep projects on track.Leverage AI tools (e.g., Copilot, ChatGPT) to improve efficiency, summarize insights, and streamline tasks.AI-Enabled & Tech-Forward EfficiencyIdentify, implement, and champion tools and workflows that simplify administrative, operational, and communication tasks.Stay curious about emerging workplace technologies that support efficiency and enhance the employee and guest experience.Develop programs and processes to create a safe and efficient workplace for all.About YouExperienced: 710+ years supporting senior leaders and/or managing multi-location office environments, ideally in tech, consulting, or multi-location organizations.Strategic & detail-driven: You operate with foresight and rigorable to zoom out on priorities while obsessing over the little things.People-oriented: You build rapport easily, communicate clearly, and foster positive relationships across teams and levels.Tech-curious: You embrace digital tools and AI to work smarter, not harder.Creative & composed: You can troubleshoot a facilities issue and help prep a leadership presentationsometimes in the same hour.Proactive and discreet: You anticipate needs and act professionally, especially in sensitive or fast-moving situations.
