The staff who are joining Shared Services can expect to feel empowered in the service they provide and look to grow their careers with critical thinking, relationship building and ongoing learning opportunities. **Position Summary** The Inventory, Receiving & Asset Tracking Clerk is responsible for receiving and processing equipment ordered by IST, located across campus and within computer labs and classrooms. This includes the physical receiving, confirmation, system processing and staging of this equipment for delivery. The clerk also assists with the return of equipment to the supplier. In addition, the incumbent assists with the tracking of university assets. Assets with an acquisition value greater than $5000 and assets that are less than $5000 that are defined as desirable are tracked and tagged within the Equipment Inventory database. The Clerk will collect paperwork from multiple sources and process within PeopleSoft. The ideal candidate will prepare an inventory package that is sent to the equipment custodian for completion. The custodian will complete and return to the clerk to finalize the database update. **Duties** * Completes the receiving, recording and confirmation of quantity and quality of the goods received from University suppliers * Inspects all shipments for damages or defects; records discrepancies and/or damage * Communicates and coordinates with PCM Supply Consultants, IST and the supplier for product delivery, returns and replacements * Verifies shipments; confirms the order placed vs the amount received against the packing slip and purchase order details * Completes the asset tagging process for IST equipment and other equipment across the University, updates the information into the appropriate database * Labels the equipment for delivery and arranges for the items to be delivered to the location identified by the requisitioner * Maintains accurate records and updates the inventory database in a timely manner * Investigates and resolves situations where inventory does not match the documentation * Manages the Surplus of equipment for the IST team * Manages the inventory levels for IST * Works with the coordinator to ensure the process is efficient * Identifies and implements areas for improvement **Qualifications** * High school diploma * A diploma or certificate in Business and Office Administration would be an asset * Knowledge and understanding of ERP systems and inventory management systems would be an asset * Inventory management experience * The ability to maintain accurate paperwork * Keen eye for detail, proactive and willing to take initiative * Strong written, communication and numeracy skills * Demonstrated ability to follow process and direction * Working knowledge of physical asset management * Strong organizational and problem-solving skills * Proficient computer skills in the Microsoft suite and Google (email/drive/calendar) At the University of Alberta, we are committed to creating an inclusive and accessible hiring process for all candidates.
