**Job Overview** The Office Manager is responsible for overseeing the daily administrative operations of the office, ensuring the workplace runs efficiently and effectively. This role includes supervising administrative staff, managing office systems and procedures, and providing support to management and other departments as needed. **Key Responsibilities** **Office Administration:** * Oversee day-to-day office operations and maintain a well-organized, safe, and professional work environment. * Develop and implement office policies and procedures; ensure compliance with company policies and relevant regulations. * Maintain office supplies inventory; order supplies and equipment as needed. * Manage incoming and outgoing correspondence, mail, and courier services. * **Staff Supervision:** * Supervise, train, and support administrative and clerical staff. * Delegate tasks, monitor performance, and conduct periodic performance reviews. * Foster a positive team environment and encourage collaboration. **Financial & Recordkeeping:** * Assist with basic bookkeeping tasks such as invoice processing, petty cash management, and expense tracking. * Maintain organized records, files, and confidential documents in accordance with company policies. **Scheduling & Coordination:** * Coordinate internal meetings, appointments, and events; maintain management calendars as required. * Liaise with vendors, contractors, and service providers to ensure smooth operations. * Assist with onboarding new employees, including setup of workstations, phones, and systems access. **General Support:** * Provide administrative support to senior management and other departments as needed. * Assist with health and safety compliance requirements within the office environment. * Handle ad-hoc tasks and resolve administrative issues promptly. * Provide personalized support to high valued and strategic customers **Qualifications & Skills** * Post-secondary education in Business Administration or a related field is an asset. * 5-7 years of experience in an office management or senior administrative role. * Strong knowledge of office management procedures and basic accounting principles. * Proficient in MS Office (Word, Excel, Outlook) and comfortable with digital office systems. * Excellent organizational and multitasking abilities; strong attention to detail. * Strong interpersonal and communication skills; ability to manage and motivate a team. * Ability to maintain confidentiality and exercise discretion when handling sensitive information. **Working Conditions** * Full-time position, typically Monday to Friday. * Work is performed in an office setting. * May occasionally require flexible hours to meet deadlines or handle urgent matters.
