Job Overview We are seeking a dedicated and professional Receptionist/Legal Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. The ideal candidate will possess strong organizational skills, excellent phone etiquette, and a background in a lawyer office environment. Responsibilities Greet and assist clients and visitors in a friendly and professional manner. Answer phone calls, directing inquiries to the appropriate personnel while maintaining excellent phone etiquette. Manage scheduling, including appointments and follow-ups for clients. Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date. Maintain organized filing systems for both physical and digital documents. Proofread documents for accuracy before distribution or filing. Support the administrative team with various tasks as needed to ensure smooth office operations. Preparing, editing, and proofreading correspondence Arranging discoveries, mediations, pre-trial, and settlement conferences Pre and post preparation for discoveries, mediations, and pre-trials Handling incoming mail Maintaining lawyer's calendar Drafting pleadings Managing files through all stages of the legal process Ensuring court filings are completed in an accurate and timely manner Requisitioning cheques for payment of invoices and court fees Assisting with intake calls from prospective clients Experience Legal Certificate an asset but not required. Previous experience as a receptionist or legal administrative assistant is preferred, especially in a law or notary office setting. Strong organizational skills with the ability to multitask effectively. Excellent customer service skills with a focus on client satisfaction. Proficient in data entry and familiar with filing systems.
