Role overview The role of Accounting Assistant involves supporting daily accounting operations, including processing transactions, maintaining financial records, and assisting with reports. You will collaborate with the finance team to ensure accuracy and efficiency in financial data management and contribute to month-end and year-end closing processes. Key responsibilities Accounts Payable Manage AP inbox, receive, inspect, and match vendor invoices to POs, and follow up as needed Review/follow up on vendor direct deposit info; set up new vendors in QuickBooks Reconcile vendor statements, track missing invoices, and dispute discrepancies promptly Process vendor and credit card payments, ensuring adherence to terms; perform semi-monthly cheque runs First point of contact for vendor payment inquiries Review AP Aged listing semi-monthly; complete vendor credit applications/authorizations Prepare, distribute, and file T5018s; reconcile holdback payables and process payments Perform bank runs as needed Data Entry & Monitoring Enter vendor invoices, employee expenses, credit card receipts, and in-house bills, ensuring correct coding Clear in-house flat-fee bills Monitor vehicle km logs and corporate cell phone/data usage Queue invoices in AP and AR folders Follow up on invoices pending PM sign-off Lock timesheets daily, following up on rejected ones Match in-house recycling bills to receipts and deliveries to pick tickets/confirmations, ensuring all in-house bills are captured Track by-law infractions (fleet vehicle) General & Administrative Records management: copy, print, scan, fax, and file documents Archive year-end documents and retrieve documents Assist with client invoicing, AR, and other accounting duties Assist in preparing on-demand reports and supporting documentation Assist with simple IT issues in the accounting and finance department Participate in department meetings and quarterly goals completion Assist in preparing supporting documentation for government grant applications as needed What you'll need to succeed Associate degree in a related field with a minimum of 1-year related work experience Proficiency with computers and bookkeeping software Strong typing skills Exceptional time management, verbal and written communication skills Familiarity with basic accounting principles Professional manner and strong ethical code Ability to multitask and remain motivated and positive Commitment to working efficiently and accurately COMPENSATION Based on experience: $45,000 - $50,000/yearIntrigued to join a team where your passion for excellence, collaborative spirit, and commitment to honest communication will help shape the future of construction?
