This is a hybrid, multi-functional role that combines leadership-level administrative support, HR Generalist responsibilities, and office operations into a high-impact position.Key Responsibilities:Leadership & Operational Support (40%)Manage scheduling, calendar optimization, and communications for the CEO and leadership teamCoordinate travel arrangements, meeting agendas, and expense trackingAssist with preparing internal reports, presentations, and project trackersTrack and follow up on key action items and priorities across the organizationHuman Resources Coordination (35%)Lead the administrative aspects of recruitment including posting jobs, screening candidates, and interview schedulingOwn onboarding and offboarding processes and documentationMaintain employee records and ensure compliance with Ontario employment standardsSupport benefits administration, policy updates, and employee communicationsCoordinate performance review cycles, professional development, and culture initiativesOffice Operations & Culture (25%)Maintain office supplies, vendor relationships, and facilities needs for the Oakville locationAct as liaison with building management and service providersMaintain a welcoming, professional, and organized office environmentPlan team events, employee appreciation moments, and internal meetingsSupport tech setup and onboarding logistics for new hiresWhat we are looking for:Must-HavesPost-secondary education in Administration, Human Resource Management or a related field35 years in a blended Admin/HR/office coordination role or equivalentImpeccable organizational and multitasking skillsStrong communication skills - written, verbal, and interpersonalHigh emotional intelligence and confidentiality in handling sensitive mattersStrong project management skillsProficient in Microsoft Office and/or Google WorkspaceComfortable working independently and managing cross-functional needsNice to HavesExperience in HRIS or ATS platforms (e.g., BambooHR, Breezy, Gusto)Familiarity with Ontario employment law and workplace complianceCHRP Designation or working towardsPrior work in a fast-growth or founder-led businessBasic bookkeeping or expense tracking skillsThis unique blend of hard AND soft skills will be critical to help Unique bridge where were coming from with where were going.
