At Embassy, you will join a fast-paced entrepreneurial environment that values: Taking initiative and always bringing a forward-thinking approach Anticipating needs and solving problems as they arise Driven to provide a high level of executive support What you are responsible for: Proactively managing and reviewing the Presidents calendar, scheduling meetings and appointments, making necessary changes and anticipating needs Maintain the highest levels of discretion when dealing with confidential and sensitive information Coordinate domestic and international travel arrangements for the President (including air, hotel accommodations and ground transportation), and prepare detailed itineraries Provide assistance to the President and Executive Team with task follow-up and activities Oversee office construction, manage facility/office requirements, such as supplies and relationships with facility vendors (landlord, office supplies, telephone & mobile providers) Plan and execute event management deliverables such as advisory board meetings, Management Team meetings, off-sites, Employee Town Halls/Events and Client Visits Record minutes and action items from Management Team meetings and follow up with designated parties to ensure that matters are brought to conclusion Assist the President to prepare memos, reports, client presentations Proactively anticipate and adapt to Embassys priorities, making adjustments to keep projects, initiatives, and goals on track Identify inefficiencies and recommend technology-based solutions Support all food safety initiatives, including (but not limited to) BRCGS, HACCP, GMPs, Allergens, GFCP, Kosher, Halal, and Customer Requirements (such as Costco standards and Kraft Standards) Ensure all activities maintain the food safety, authenticity, legality, and quality of our products Duties, responsibilities, and activities may change, or additional duties may be assigned at any time What you need to bring to Embassy: Minimum of 5 years experience in executive/office administration Post-secondary education in Business Administration and/or related work experience would be a significant asset Tech Savvy able to master new systems, tools and technologies Extremely strong organizational skills Excellent interpersonal and communication skills complimented by a friendly personality to help maintain and build relationships with vendors, clients and key business stakeholders Strong attention to detail, analytical skills, and customer service orientation Self-motivated with a positive attitude and a willingness to learn A strong sense of responsibility and ownership over deadlines and overall portfolio Ability to work under tight timelines and pressure Ability to work on a flexible work schedule when required Embassy Ingredients is committed to providing accommodations for applicants with disabilities through the recruitment, selection and/or assessment process.
