Role overview Based in your SSC hub, in the hybrid workplace program (minimum 4 days in office per week), you are the connector between senior leadership and departmental team needs. The Executive Assistant is the principal scheduler, timekeeper, planner, and coordinator to two members of the lululemon Executive Team, playing a vital role in the success of their departments. Tasks in this role include (but are not limited to): Responsibilities Coordinates the Executives calendar and contacts, according to allowed authority. Establishes work priorities and directs assignment of work to department staff according to scope of allowed authority. Coordinates the Executives calendar, sends meeting invitations and agendas, books meeting rooms, and arranges for tech resources and refreshments to support efficient meetings. Maintains confidential information and ensures it is handled appropriately. Coordinates multi-leg travel in conjunction with a team of Executive Assistants and the most Senior Executive travel plan. Owns the Executives expense report submission, ensures policy compliance, and oversees department expense reviews on behalf of the Executive. Acts as a communications liaison with the department as required and responds to inquiries or refers them to the appropriate partner. Prepares briefing notes and minutes of meetings as required; provides Executives with documentation needed for meetings and correspondence with the business. Delegates and follows up on action items within the realm of responsibility; supports space planning needs for department growth. Handles special projects as assigned by the Executive; in partnership with P&C, owns onboarding of incoming new members of the Executive direct report team. Nice to have 3+ years experience or equivalent in an administrative and/or executive support role with increasing responsibilities. Excellent business acumen and ability to exercise sound judgment and prioritization. Ability to observe and maintain utmost confidentiality. Ability to work in a fast-paced environment. Experience working with a publicly traded company. Advanced level in Microsoft Outlook, Word, Excel, and PowerPoint.
