About The Role Position function: Reporting to the Shipping Administrator, the individual will be responsible for providing essential administrative support for Caldics shipping/receiving team. This function includes processing shipments, managing shipping documentation and records, coordinating with carriers, resolving shipping issues, providing customer service, and maintaining supply levels. This role is crucial for ensuring the timely and accurate movement of goods while maintaining accurate logs, efficient processes, and compliance with regulations. The Shipping Administrator is required to complete all assigned tasks involving the Shipping and Receiving responsibilities. Scope The Shipping Administrator will be responsible for becoming familiar with shipping and receiving procedures to ensure products and ingredients are shipped and received according to Caldics processes and procedures. This position will work with all departments at Caldic as well as customers, suppliers and third party logistics companies and will report directly to the Shipping Administrator Supervisor. Key Responsibilities Execute all shipping and receiving administrative processes and procedures related to the distribution of shipments to Caldic locations, customer sites and the receipt of suppliers products and ingredients. Monitor and print work orders containing dry goods and purchased product to ensure orders are available to be picked and anticipated delivery dates are met; support Liquid Blends by notifying Liquid Blends administrator of printed work orders containing Liquid products. Regularly communicate with Replenishment to follow up on outstanding product to fill current and upcoming sale orders. Regularly communicate with Customer Service to ensure any order specifications, modifications or status are clearly detailed; may include overflow updates, detailed delivery instructions, change of address, delivery date/time or Purchase Order number. Review orders (shipped or pickups) up to 3 days ahead to ensure pick tickets are printed for picking and to prepare packing lists once the orders have been picked, ensuring customer requirements are met prior to shipping; picking must be completed and signed off prior to preparing BOL for drivers. Assist the warehouse team on the floor with any issues that arise. Ensure daily incoming report is reviewed and purchase orders are printed for receiving; manage the receiving desk to assist with delivery paperwork. Verify daily that all scheduled orders are accounted for on the run sheet; any orders not printed will go on the overflow run sheet and should be picked and loaded accordingly. Post orders as confirmation that order is picked, loaded and in-transit. Coordinate ongoing logistics duties; prepare RMAs for customer order refusals due to leaking or damaged totes and ensure rush orders are organized and managed appropriately. Organize third party logistic deliveries as required and provide all required delivery information and paperwork; may be required for regions outside Caldics drivers delivery regions, out of province or international deliveries. Daily communication with Caldic drivers to resolve driver delivery issues and any other issues that may arise. Assign Caldic drivers overflow runs. Review and close partially received purchase orders and inform Replenishment. Verify Montreal transfer load; verify shipments for transfer by completing work orders and shipment confirmations. Follow Food Safety and Quality requirements as per prerequisite programs, HACCP plans, CCP monitoring and SQF code. Attend required training necessary for the job. Complete all other duties as assigned by Supervisor/Manager. Ensure compliance with health and safety regulations, GMPs and HACCP requirements.
