Role Overview: The Executive/Personal Assistant is a key support figure to the CEO and the executive team, tasked with maintaining organization, ensuring efficient scheduling, and managing a comprehensive range of administrative duties. This role requires excellent coordination, proactive problem-solving, and the agility to handle diverse tasks with professionalism and precision. Key Responsibilities: Organize schedules, appointments, and meetings with meticulous attention to detail. Coordinate comprehensive travel arrangements, providing support for a CEO using a power wheelchair. Serve as the primary liaison between staff, clients, third parties, and especially remote graphic and video editors, ensuring they work efficiently and meet project deadlines. Exhibit a strong proficiency in, or the willingness to quickly learn, Excel for data management and analysis. Demonstrate a solid understanding of time zones for effective global meeting scheduling and communication management. Manage large volume file organization. Manage personal errands, online shopping, product returns, and daily cleanliness tasks for the kitchenette and fridge. Organize the CEO's desk and workspace to maintain an efficient and orderly environment. Comfortable with animals, as interaction with pets may be part of the daily environment. Utilize project management tools like Asana and Jira for task management and coordination with remote teams. Adapt to new technologies, tools, and software to enhance work efficiency and productivity. Monitor multiple real-time situations. Check mail. Perform dishes and office cleaning on a daily basis. Manage various remote contractors or products. Manage utilities billing. Deliver difficult news with tact, exhibit public speaking skills, and undertake unconventional tasks or other duties as assigned. Requirements: Exceptional written and verbal English communication skills. Exceptional organizational and multitasking skills. Valid driver's license or willingness to obtain one. Advanced proficiency in MS Office, with a focus on Excel, and familiarity with project management platforms like Asana and Jira. Flexibility to work outside standard hours as necessary.
