Were hiring for our client's awardwinning Calgarybased interior design studio known for creating warm, elevated, and timeless interiors. Were seeking a Studio & Finance Administrator to support our client's growing team with the same passion, precision, and purpose that defines their work. What Youll Do As the Studio & Finance Administrator, youll have the central administrative role in keeping financial records maintained and office operations organized. Your contributions will include: Maintain Bookkeeping software with up-to-date records related to office invoice payments, employee data, vendor information, price lists. Generate client proposal sheets, create client invoices, pay vendor invoices. Keep payroll system up to date with employee data, and hours. Ensure payroll is double checked and approved before submitting; responsible for making deposits on time. Reconcile bank and credit card statements. Run monthly reports tracking billable time, office expenses, payroll costs and profit/loss statements. Assist with year-end processes and close out year end in the Bookkeeping software. Responsible for ordering all custom goods and managing order tracking including related deficiencies. Managing shipping processes including arranging for couriers and customs brokerage. General office administration, everything from handling incoming & outgoing calls, writing correspondence, arranging meetings, to providing a warm & welcoming presence to clients and maintaining a neat & organized office environment. Maintain office supplies and equipment inventory including ordering supplies and coordinating IT services as required. What You Bring Superior organization skills and keen attention to detail. Able to manage competing priorities with flexibility and focus. Strong time management skills and ability to work both independently and collaboratively in a fast-paced team environment. Strong verbal and written communication skills, particularly in the ability to engage and communicate with staff, clients and vendors in a polished, professional manner. TechSavvy with strong proficiency with MS Office and Studio Designer. Minimum 3 years of bookkeeping experience; a certificate in Bookkeeping is considered an asset. Minimum 5 years prior experience in an Office Manager or similar role. Prior experience running payroll is considered an asset. Comfortable with occasional travel within the Calgary area as required.
