Job Description

Overview: Accounting Administrator role at TalentSphere Staffing Solutions in Surrey, BC. Responsibilities Process and manage all accounts payable and receivable transactions. Prepare and issue invoices to customers and follow up on outstanding payments. Code, allocate and record vendor invoices (product and freight charges) into the accounting system, ensuring timely payment. Communicate with vendors, customers, and the sales team to resolve issues or discrepancies. Track and report costs associated with customer invoices (product cost, freight, brokerage, credits, and other costs). Track and report month-end accruals for unbilled sales, unpaid invoices, and in-transit inventory. Perform month-end close tasks per provided timelines. Receive, record, and apply customer payments in the accounting system (Great Plains). Process cheque deposits on a weekly or bi-weekly basis and coordinate with head office. Provide customer quotes by liaising with Estimating and Customer Support teams. Order inventory as directed by Warehouse Manager and record it in the accounting system (Great Plains). Administrative duties: answer incoming calls via Teams, greet visitors, prepare paperwork, organize filing systems, oversee credit checks for new customers, and manage inventory transfers and reconciliations at month end. Assist in data extraction for reports as needed. Experience Required Ability to manage multiple tasks in a dynamic environment with shifting priorities. Advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook); tech-savvy. Business Administration course or certificate is an asset. Strong multitasking skills and ability to meet tight deadlines. Excellent spoken and written communication skills. Strong analytical skills and ability to work under pressure. Exceptional accuracy and attention to detail. Willing and able to work within a flexible time schedule. Strong customer service skills, both verbal and written. Problem-solving mindset and strong work ethic; organized and capable of calendar management; able to prioritize tasks independently. Diplomacy and professionalism in conduct.
