This role supports senior leadership and executive teams with administrative and operational tasks. This position is for an entrepreneurial individual with a customer service mindset and exceptional administrative, coordination, and communication skills. The role operates autonomously within established parameters, with guidance for more complex situations. The Senior Executive Assistant will build strong relationships across departments and maintain discretion and trust, anticipating executives' perspectives and preferences. This position must be based in Canada and be in person 2-3 times per week in Vancouver or Toronto. What you'll work on Contribute to planning, organization, and execution of special projects, including high-profile international events and key organizational initiatives Oversee and manage schedules, appointments, and travel arrangements for the Senior Leadership Team Coordinate team events, support community-building, and handle logistical tasks Manage group-wide meetings and agendas, take notes, and track action items for the Senior Leadership Team Review, route, and respond to incoming email and organizational requests on behalf of the Senior Leadership Team Organize, track, and reconcile professional finances and expenses Coordinate communications and liaise with external partners, vendors, and clients Create and maintain internal documentation, knowledge management, and communications for the Executive Assistant team Maintain confidentiality with a high degree of trust and integrity Represent Clio's values and culture as an ambassador for the Senior Leadership Team internally and externally What you may have 10+ years of experience as an executive assistant or proven track record in administrative coordination Exposure to senior leaders, business strategy, and decision-making High level of trust and integrity regarding confidentiality Collaborative, self-starter mindset with a bias to action Flawless written and verbal communication skills, even under pressure Strong interpersonal skills and ability to develop high levels of trust Ability to multi-task and strong time management Impeccable attention to detail Resourceful and able to work independently with deadlines Proficiency in Mac, Google Suite, Slack, Asana, and Concur Comfort with new technologies and tools High level of professionalism, emotional intelligence, and trust Compensation and Benefits Compensation is a key component of Clios Total Rewards program, with fair and competitive pay practices.
