These reconciliations cover control accounts, mutual fund positions, GICs, pool funds, bank accounts and any other products as required. The admin needs to identify all exceptions, review and work with the appropriate teams internally and/or externally to resolve them. The admin needs to have excellent verbal and written communication skills as they will interact with multiple internal departments as well as Fund Companies, GIC Issuers, Portfolio Managers, Credit Unions and Bank providers.Responsibilities:This role is like an auditorReview work done by other parts of Operations and the business to ensure that it is aligned to the requirements of CIRO (formerly IIROC & MFDA)Provides internal controls (control accounts, mutual fund positions, GICs, pool funds, bank accounts and any other products as required)The position focuses on finishing their assigned reconciliation and fixing the issues by the regulatory deadlinesRequires reaching out to others in the business to ensure that things are resolved in a timely mannerComplete reconciliations required internally and by regulatory bodies (CIRO)Liaise with appropriate internal and external departments to rectify any outages between the firm and the fund companiesGain an understanding of the regulatory requirements that these tasks satisfyEnsure all unit exceptions are resolved by reporting deadlinesEnsure non-financial discrepancies are updatedProvide support for dealer rep maintenance functionsComplete all bank reconciliations in relation to Operating and Trust/Client related bank accounts. Review all exceptions and follow up with the banking group and/or the bank providers to resolve in a timely mannerEnsure Credit Unions complete their bank reconciliations monthly. Follow up directly with the Credit Unions on any outagesAssist with any inquiries to the team regarding account positionsAssist with the setup of new reconciliations as products come onboardMaintain the procedures manual and continually review the process to find opportunities for ongoing improvementsAssist with any internal or external audit inquiries in relation to reconciliations Qualifications: Your experience and skills:Fluency (written and spoken) in English and French is required to effectively communicate with partners, clients, and colleagues across CanadaPost-Secondary education and a degree in Business Admin or Finance is an asset1 year of administrative work experience in the Mutual Fund or Financial Securities IndustryHas experience with reconciliationsKnowledge of current operational procedures governing the mutual fund and security industryIFIC or CSC designation is an assetExtremely detail oriented and accurateExcellent problem-solving skills to perform analysis of the exception issues and determine solutionsDemonstrates the ability to work calmly and effectively in a fast-paced environmentFlexible to meet changing needs and manage deadlinesExcellent time management and organizational skills to meet time constraintsIntermediate computer skills and advanced skills in Excel and Access are an assetExperience using Dataphile and FundCom is an assetIntermediate Excel skills (Vlookups, Pivot Tables, some basic formulas)Accuracy & Detail oriented - checking details & reports requires accuracyStrong time management & follow-up skills - need to gather information from other teamsRequires excellent communication skills, and the ability to develop relationships as they will interact with multiple internal departments as well as Fund Companies, GIC Issuers, Portfolio Managers, Credit Unions and Bank providers
