Position: Administrative Support (Chinese and Student Exchange)Working Hours/location:Clients Standard Hours of work are 8:15 to 4:30 with a 1 hr lunch break Client time, Monday through Friday excluding holidays observed by the province.Clients Location: Edmonton, Alberta T5J 5E6 Duration: 12 Months (Possible extension)Job Description:The International Education Services (IES) Branch at Client Education and Childcare operates in a fast-paced, high-quality environment, where strategic thinking, attention to detail, highly developed interpersonal and intercultural skills, and the ability to mediate and negotiate are of high importance.The Branch is responsible for providing leadership in strategic planning, policy, and implementation related to international education for the K-12 education system and is also responsible for representing Alberta's international education interests through international relations and work within Canada and internationally.Through international agreements, Client Education and Childcare is fortunate to have Special Language Advisors posted to Client from education partners abroad to support language and culture programming in Alberta. At full capacity, Education and Childcare has five Special Language Advisors from: China, Germany, Japan, Spain and Ukraine.The branch is looking to fill a temporary administrative role to support a Chinese Special Language Advisor posting to Client Education and Childcare and the operations of a suite of Student Exchange Programs administered by the branch.Duties will include, but are not limited to, the following:Client Proofing and formatting word documents.Client Budgeting and information updates in Excel.Client Supporting the special language advisor in the organization of events, meetings and venue bookings as requiredClient Creating documents and memos as required.Client Answering phone calls and emails.Client Assisting the production and release of branch documents.Client Copying, scanning, faxing, filing and performing records management of physical and digital documents.Client Processing and reviewing expensesClient Taking meeting minutes.Client Apart from its main focus, this position may assist with other special language advisors and branch duties as needed.Mandatory Training Courses:Once hired the resource will be required to complete all mandatory training which includes but is not limited to Freedom of Information and Protection of Privacy Act, Security/Cybersecurity, Information Management, and Respect in the Workplace.There may also be other mandatory and/or optional training.Equipment requirements:The province shall provide the requisite office space, computer, furniture, and office supplies.The province shall continue to ensure that the Contractors resources have the necessary access and credentials to the client system.The fixed rate quoted must be inclusive of all overhead, office space and equipment, including supplies, administrative burden, mark-up, and all other costs to perform the Services for the duration of the Contract.Qualification AssessmentMust HaveStrong knowledge and ability to read, write and speak in ChineseStrong knowledge and ability to read, write and speak in EnglishWork ExperienceAt least one year of direct clerical and hands-on working experience in administering sExperience of using Chinese language in an office settingExperience in administrative related tasksExperience using Microsoft Suite tools.Nice to Have Experience :Experience living and/or working abroadWork ExperienceExperience working with international colleaguesExperience working with schools and school authorities
