The Role We''re hiring a Project Coordinator to support a newly formed small-works / service line focused on day-2, churn, refresh, and light interior projects. Think: small in scope, fast in cycle time, high in impact. You''ll manage multiple small projects end-to-end with the autonomy of a Project Managerowning scope, pricing, scheduling, permits, trade coordination, site execution, budgeting, close-out, and warranty. Typical project categories include: Tenant churn / office moves Suite refreshes (paint, flooring, lighting) Minor MEP / sprinkler relocations Door & hardware replacements Small millwork or signage jobs Make-readies for new tenants Light base-building tweaks What You''ll Own Scope & Pricing Conduct site walks, develop scopes, perform take-offs Prepare quick-turn budgets, ROMs, and formal quotes Validate assumptions with trades and property operations Scheduling & Permits Build short-interval schedules Coordinate access, shutdowns, night/weekend work Facilitate permit applications as required Trade Buy-Out & Procurement Source quotes, level bids, recommend awards Issue POs and confirm lead times Execution Oversight Run kickoff meetings Track daily progress and resolve site issues in real time Manage changes and maintain safety, quality, and cleanliness Financial Control Maintain budgets, review invoices Manage change orders Protect margin through clear scope definition and timely approvals Close-Out & Warranty Drive punchlists to completion Collect O&M manuals and as-builts Obtain sign-offs and handovers Respond to warranty/service tickets and dispatch trades What Success Looks Like Fast cycle times: Quotes, mobilization, and close-out completed within service SLAs Clean financials: Budget adherence and properly executed change orders Zero rework: High-quality handovers and site compliance Client satisfaction: Clear, proactive communication leading to repeat work Who You Are 36+ years in ICI interiors, service work, or special projects (GC experience ideal) Comfortable running multiple small jobs concurrently Strong with drawings, take-offs, estimating fundamentals, and short-interval schedules Skilled in trade/vendor coordination, invoicing, RFIs/submittals, and close-out packages Proficient with MS Office; experience with Procore or similar PM software is an asset A proactive communicator who keeps all stakeholders aligned Valid driver''s license and access to reliable transportation for GTA site travel Work Model & Benefits Hybrid work environment (office + field + optional home) Travel to GTA project sites (mileage/transit reimbursed) Competitive total compensation Extended health, dental, vision, and life insurance Paid vacation Reimbursement for approved out-of-pocket project expenses Eligibility for discretionary bonuses
