Position Overview The Executive Assistant to the Chief Growth Officer (CGO) provides high-level administrative, operational, and project support. This role requires exceptional organization, foresight, professionalism, and the ability to manage both business and personal tasks with discretion. The ideal candidate is proactive, polished, and thrives in a dynamic environment where priorities shift rapidly. You will act as a strategic partner serving as the CGO''s right and left hand ensuring seamless coordination across daily operations, key projects, communications, and executive initiatives. Key Duties & Responsibilities Executive Support Proactively manage the CGO''s calendar, inbox, scheduling, and day-to-day priorities Coordinate complex travel arrangements (business, media, personal) including flights, hotels, transportation, and itineraries Maintain strict confidentiality across all internal and external communications Draft, edit, and prepare professional correspondence, letters, and responses on behalf of the CGO Organize tasks, track deadlines, and follow up on deliverables Prepare meeting materials, set agendas, and manage pre- and post-meeting actions Handle select personal tasks and errands to ensure the CGO''s time is optimized Protect and prioritize the CGO''s schedule, anticipating needs and conflicts in advance Provide SOPs and administrative process documentation as required Project & Operations Management Support project management activities for internal teams and external partners Manage project tracking tools and provide routine updates to the CGO Identify risks, flag issues, and recommend effective solutions Coordinate meetings and presentations for executive leadership and external stakeholders Conduct research to support decision-making Ensure accuracy and brand alignment for all marketing materials, communications, and agreements Maintain organized digital files, contracts, agreements, and documentation Communications & Meeting Management Oversee internal and external communications on behalf of the CGO Record meeting minutes, generate action reports, and follow up on deliverables Ensure all meeting participants receive materials and confirm attendance Provide reminders for upcoming appointments and key events Assist with board meeting presentations and post-meeting documentation Prepare written reports, handouts, and materials for leadership discussions Support corporate messaging and company-wide announcements Event & Business Coordination Manage the CGO''s media and engagement schedule, ensuring punctuality and proper time allocation Book recurring meetings, focus-time blocks, and travel buffers Coordinate corporate events, team activities, town halls, PR functions, and offsite meetings Order supplies, catering, gifts, and event-related materials Assist with new clinic/location launch preparations Liaise with vendors, agencies, and partners as required Personal Assistance Coordinate personal errands, scheduling, and household-related appointments Support the CGO with personal commitments to streamline daily life Manage personal and professional tasks seamlessly and discreetly Qualifications & Requirements Bachelor''s or Master''s degree in Business Administration or related field (or equivalent experience) 1015 years of experience supporting C-level executives in a senior EA role Experience in privately owned companies or family office settings is an asset Experience supporting equity board members preferred Exceptional administrative, organizational, and clerical skills Outstanding time management, prioritization, and multitasking ability Strong written and verbal communication skills Ability to work flexible hours when necessary Highly resourceful, proactive, and capable of managing tight deadlines Strong problem-solving skills with professional discretion Excellent interpersonal skills and a polished, executive presence Proficiency with Apple, Microsoft Office, Google Workspace, CRM systems, and virtual meeting tools Knowledge of social media (especially LinkedIn) is an advantage Demonstrated ability to operate in fast-paced, high-pressure environments Commitment to inclusive, respectful, patient-centered environments What We Offer A collaborative and supportive executive environment Fast-paced, engaging work with opportunities to take ownership Competitive compensation with bonus potential and benefits Transit-accessible location with onsite parking Paid time off and additional career development opportunities Team-oriented company culture and regular corporate events Direct exposure to high-level leadership and strategic initiatives An opportunity to help shape the next stage of organizational growth Annual Salary of $110,000 - $115,000, 15% Bonus, 15 days vacation to start.
