Job Description

Summary: The Medical Office Assistant provides specialized medical office support to the nurse practitioners, doctors, and other medical specialists in a Foundry Centre in addition to providing backup reception duties. Key Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other related duties may be assigned. Monitors patient charts to ensure that critical tasks have been brought to the attention of the appropriate medical specialist or completed by the patient, for example, ensuring the patient fills out a specific questionnaire prior to the next appointment. Gather materials needed for specialist appointments such as psychiatry and ensure that all documents are in order. Keeps referrals and their status up to date. Notifies patients about specialist appointments or imaging appointments; notify patients who need to return to the clinic. Ensure all specimens are labelled and the requisitions are properly filled out. Stocks exam rooms and notifies the manager when supplies need to be ordered. Operates the autoclave. Prepares billing and/or sessional invoices for approval by the manager. Scans and uploads documents into relevant software, for example, Juno. Provides reception coverage at the front desk as required. Qualifications Education/Experience MOA certificate and experience working in medical practice Three years of recent related experience, which should include: Interacting with vulnerable people in a helping role Ability to communicate effectively in writing; strong language and grammatical skills Excellent listening, communication, and interpersonal skills Demonstrated ability to work constructively and co-operatively in an office setting both independently and as a team member Ability to organize and prioritize work and to independently carry out the duties of the position Ability to deal effectively, either in person or over the phone, with individuals who are sometimes agitated, angry, and/or threatening Or an equivalent combination of education, training, and experience Other Skills & Abilities: Demonstrate a level of cultural sensitivity and understanding of the client population''s cultural and socio-economic characteristics. Have a positive conviction about the capacity of people to grow and change. Have the ability to work respectfully in partnership with other team members. At times the Medical Office Assistant may be required to type confidential, sensitive, graphic information. They may be required to deal with emotionally charged people either in the office space or on the telephone. Post Closing date - December 24, 2025 Location: Port Coquitlam Hours: hours per week, to be scheduled in consultation with supervisor.
