Our commitment extends beyond professional support; we also protect and educate the public through comprehensive educational initiatives and our product recognition program.Position Overview The CDA is seeking an Administrative OfficerReporting to the Director, Finance and Operations, this newly created position will play a key role is supporting internal operations within the finance and operations team as well as supporting industry facing and member-facing programs that are central to the CDAs mission. The candidate will be tasked with managing day to day tasks and routine operations of the programs they support while having the opportunity to contribute their effort and ideas towards continuous improvement. The successful candidate will be a driven self-starter who is meticulously organized, service oriented, and eager to contribute to a high-performing team.Duties and ResponsibilitiesPartner with CDA staff & internal teams and support CDA programs to deliver routine program operations.Ensure the accuracy of databases and management information systems.Manage the application, contracting and renewals process for the CDA recognized product program, including coordinating with and providing timely service to clients, ensuring accuracy and completeness of the program database and records, coordinating billing and payments, and coordinating with the recognized product program advisory board members and internal teams to ensure compliance and efficiency.Maintain accurate records of contracts, correspondence, and documentation for CDA programs using SharePoint.Deliver timely and useful management reporting related to program activities.Perform bookkeeping duties as required, including recording financial transactions, managing accounts payable and receivable, performing bank and credit card reconciliations, and preparing tax documents.Support the finance and operations team in managing the IT & HR functions, including contributing to maintaining employee records, maintaining HR documentation, and supporting recruitment, onboarding and offboarding procedures, managing user accounts & system access permissions, and tracking inventory of hardware.Triage and respond as necessary to day-to-day inquiries from CDA membership and public.Contribute to special projects and initiatives as required.Other administrative duties as required.Skills and qualificationsPost-secondary education in administration, business, or related field.2- 3 years experience in program coordination, membership services, or financial administration.Proficiency in Microsoft Office; experience with AMS or CRM systems and bookkeeping software such as Quickbooks is an asset.Professional and service-oriented approach to working with stakeholders, including members, clients, and volunteers.Understanding of bookkeeping basics.Meticulously organized with strong time-management skills and attention to detail.Excellent communication skills (written and verbal).Dynamic self-starter with a strong sense of ownership of their portfolio of duties.Commitment to ethical behavior and confidentiality.Bilingualism (English and French) is considered an assetExperience in a medical association or non-profit environment is considered an assetSalary RangeThe salary range for this position is $55,000 to $68,000.
