In this position, you will plan and coordinate an active calendar of appointments and work closely with the CEO to effectively manage and support internal and external commitments, projects and relationships.Your role will extend to the efficient management of a broad range of administrative responsibilities and tasks including supporting governance-related meetings and committees. Plan, coordinate, and ensure that the CEOs schedule is followed and respected. Act as both a gateway and a gatekeeper in a positive and respectful way to coordinate appropriately timed direct access to the CEOs time and office.2.Administrative & Project SupportWork closely with the CEO to manage upcoming commitments and responsibilities. Proactively track priorities, goals, projects, tasks, and deadlines, ensuring items are appropriately delegated, reprioritized, or resolved in the face of competing demands and time pressures. Anticipate the CEOs needs and working preferences, identifying and addressing potential issues before they arise.Collect, analyze, and interpret data to support decision-making processes.Conduct research and compile data to support the CEO's presentations.Monitor and report on key performance indicators (KPIs) and other metrics related to the CEOs objectives.Assist in the development of strategic plans and initiatives.Follow through on projects to successful completion.Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.Assist the CEO in daily administrative tasks including completing expense reports, arranging complex agendas and compiling documents for meetings.Collaborate closely with the Business Operations Associate and Director of Finance, HR and Business Operations on operations, meeting and event coordination, team building and training events, etc.Undertake special projects and perform other administrative and business functions as required, which may involve providing support to other members of the senior leadership team and related work streams.3.Communication & LiaisonCoordinate and manage communications between the CEO, various partners and interested parties, ensuring timely and accurate dissemination of information.Develop and maintain strong relationships with team members, Board and Committee members, and external partners, acting as a representative of the CEOs office.Demonstrate a high degree of professionalism in all internal and external interactions. Determine the appropriate courses of action, referral, or response and communications decisions on behalf of CEO. Prioritize conflicting needs and deadlines and handle matters expeditiously.Demonstrate a high level of political acuity in both issues management and relationship management, maintaining real-time awareness of emerging and ongoing matters. Proactively brief the CEO on developing issues, resolved matters, and potential implications, while monitoring, assessing, and reporting on organizational risks.4.Meeting & Event CoordinationPlan and coordinate Board and Executive meeting logistics, attendance tracking, report and agenda preparation, slide decks, and official meeting minutes as needed. Plan and coordinate meetings of Board Committees; attend meetings, take notes, capture action items, and ensure follow-through. Coordinate internal and external meetings, ensuring clear documentation, tracking, and follow-up of action items requiring approval or further action. Arrange offsite venues and manage travel logistics as required to support effective engagement and execution.Plan, organize, and coordinate corporate events. Manage event logistics, such as venue selection, catering, and guest accommodations.Plan, organize and coordinate team training and team building events, in collaboration with Operations Team.QualificationsExperience: At least 3 years experience supporting senior level executives or administration.Education: Undergraduate degree or equivalent training in business, administration, communications or other relevant field.Equity, Diversity, Access, and Belonging: Demonstrated commitment to equity, diversity, access, and belonging, with the ability to apply an equity-informed and inclusive lens to communication, decision-making, and executive support functions.Skills: Exceptional verbal and written English communication skills.Superior project management, time management and organization skills; ability to perform and prioritize multiple tasks seamlessly and autonomously, from concept to successful completion, and work in a fast-paced environment.
