Corporate Services (Front Desk & Sample Coordination) Position Overview This role supports daily office operations by managing front desk activities, coordinating frozen food samples, and providing administrative support across the organization. This role is central to ensuring smooth office functionality, efficient sample handling, and a professional first point of contact for visitors and partners. Key Responsibilities Front Desk & Office Operations Serve as the first point of contact by welcoming visitors, answering incoming calls, and managing mail and courier deliveries. Prepare waybills and coordinate outbound shipments via FedEx and West Island Express. Track courier deliveries, follow up on delays, and open service cases as required. Order and manage office supplies, stationery, janitorial items, coffee and kitchen supplies. Maintain shared spaces, including dishwasher operation and daily cleaning of coffee machines. Coordinate weekly fresh fruit program setup. Assist with coordinating office events, catering, and seasonal decorations. Sample Coordination Organize the receiving, unpacking, and storage of frozen food samples. Coordinate notifications to internal stakeholders and manage dry ice and packaging orders. Maintain accurate freezer inventory and storage organization. Prepare and manage forms related to cross-border shipments. Scan and distribute documentation related to LATAM and export shipments. Drive to the airport on an as-needed basis to retrieve emergency packages (expenses reimbursed). Administrative & Financial Support Review and approve invoices related to couriers, suppliers, and office services. Support management with administrative tasks including tracking, filing, organization, and documentation. Qualifications & Skills Fluent in English (written/spoken); professional working proficiency in spoken French. Strong communication skills and customer-service mindset. Highly organized with strong attention to detail. Comfortable working independently and managing multiple priorities. Proficient with Microsoft Office (Excel, Word, Outlook). Only candidates who are considered for the position will be contacted. ___________________________________________________________________ Services Corporatifs (Rception et coordination des chantillons) Aperu du poste Ce poste consiste soutenir les oprations quotidiennes du bureau en grant les activits de la rception, en coordonnant les chantillons de produits alimentaires surgels et en fournissant un soutien administratif l'ensemble de l'organisation. Ce poste est essentiel pour assurer le bon fonctionnement du bureau, la gestion efficace des chantillons et un premier point de contact professionnel pour les visiteurs et les partenaires. Principales responsabilits Rception et oprations administratives Servir de premier point de contact en accueillant les visiteurs, en rpondant aux appels entrants et en grant le courrier et les livraisons par coursier. Prparer les bordereaux d'expdition et coordonner les envois sortants via FedEx et West Island Express. Suivre les livraisons par coursier, assurer le suivi des retards et ouvrir des dossiers de service si ncessaire. Commander et grer les fournitures de bureau, la papeterie, les articles d'entretien, le caf et les fournitures de cuisine. Entretenir les espaces communs, y compris le fonctionnement du lave-vaisselle et le nettoyage quotidien des machines caf. Coordonner la mise en place du programme hebdomadaire de fruits frais. Aider la coordination des vnements du bureau, de la restauration et des dcorations saisonnires. Coordination des chantillons Organiser la rception, le dballage et le stockage des chantillons alimentaires congels. Coordonner les notifications aux parties prenantes internes et grer les commandes de glace carbonique et d'emballages. Tenir jour l'inventaire prcis des conglateurs et l'organisation du stockage. Prparer et grer les formulaires lis aux expditions transfrontalires. Numriser et distribuer les documents lis aux expditions vers l'Amrique latine et l'exportation. Se rendre l'aroport si ncessaire pour rcuprer des colis urgents (frais rembourss). Soutien administratif et financier Examiner et approuver les factures lies aux services de messagerie, aux fournisseurs et aux services administratifs. Soutenir la direction dans les tches administratives, notamment le suivi, le classement, l'organisation et la documentation. Qualifications et comptences Matrise de l'anglais (crit/parl) ; matrise professionnelle du franais parl. Solides comptences en communication et sens du service la clientle. Trs organis(e) et soucieux(se) du dtail. Capable de travailler de manire autonome et de grer plusieurs priorits. Matrise de Microsoft Office (Excel, Word, Outlook).
