THE OPPORTUNITYReporting to the Director, Donor Experience & Insights, the Officer, Data Management, plays a key role in ensuring the integrity, accessibility, and use of donor and constituent data within our main CRM Raisers Edge NXT. This position focuses on data imports and exports, list management, and maintaining clean, reliable information that supports fundraising, marketing, and stewardship efforts.The ideal candidate is highly detail-oriented, proactive, and collaborative, someone who thrives on ensuring data is accurate, well-structured, and used effectively to drive engagement and philanthropy.List Management & Communications Support Lead data exports and segmentation for direct mail, email, and multi-channel fundraising and other digital campaigns.Collaborate with fundraising and marketing teams to ensure accurate and timely list pulls based on campaign criteria.Prepare and manage data files for external vendors (e.g., mail houses, digital agencies), ensuring compliance with data privacy and format standards.Import campaign results and engagement data back into RENXT, including delivery rates, opens, clicks, and response metrics.Maintain up-to-date constituent records reflecting donor communication history and preferences.Data Integration & Reporting Manage data exchanges between our main CRM (RENXT) and other systems such as email marketing (e.g., Mailchimp, Engaging Networks etc.), event management and camper & volunteer platform (CampSite).Develop and maintain queries, exports, and dashboards to support fundraising, stewardship, and performance tracking.Support staff with data requests, providing clean, accurate lists and reports.System Administration & User Support Manage RENXT user access, permissions, and security roles.Document and maintain data procedures, workflows, and business rules.Provide training and guidance to staff on RENXT best practices, data entry standards, and reporting.Support testing and implementation of new database features, modules, and integrations.Data Management Manage regular data audits, deduplication, and data hygiene activities to ensure data accuracy, consistency and completeness.Monitor data quality metrics, identifying systemic issues and collaborating with stakeholders to improve data entry practices and standards.Manage and optimize data management processes by applying automation and specialized tools to streamline audits and reduce manual errors.Perform other duties and responsibilities as assigned by their Manager or their designate including providing backup support for gift processing as needed.ABOUT YOURequired CriteriaUniversity degree or College diploma in a related field or equivalent experience. Minimum 3-5 years experience working with CRM systems, donor databases, or enterprise data platforms. Proven experience with data imports, exports, and data integrations between multiple systems ensuring accuracy and integrity. Intermediate or advanced experiences using donor databases, data import tools, data validation tools.Experience working with data cleaning, validation, and quality assurance processes.Excellent communication skills with the ability to communicate to a wide array of audiences. Excellent proficiency in MS365 Suite. Excellent project management, organization, flexibility, and multi-tasking skills within a team environment. Experience developing and delivering effective training to stakeholders of all learning styles. Highly motivated, proactive and persistent, understanding how to work collaboratively with individuals and teams in a complex environment. Strong administrative and problem-solving skills with the ability to translate vision and strategy into tactics and actions. Demonstrate an agile, resourceful, and initiative-driven approach to problem solving with a strong focus on process improvement and adaptability.Clear police reference check and vulnerable sector screening.Advantageous CriteriaExperience with Engaging Networks, Race Roster, CampSite Raisers Edge.Experience using data transformation or automation tools such as Power Query or Power Automate or similar tools.Familiarity with API-based data integrations.To support our commitment to a safe, caring environment for children with serious illnesses and their families, all staff must attest to having received their childhood vaccinations and confirm a negative result in a two-step Tuberculosis ('TB') testing series. Seasonal boosters against Influenza and the most recent circulating strain of COVID are strongly encouraged. All staff must provide an updated criminal record check or Vulnerable Sector Screening and be currently eligible to work in Canada and for Campfire Circle.WORKING CONDITIONSThis role is hybrid, working from our Toronto office approximately 2-3 times per week, which will increase during peak event season, in an open concept working environment. This position will also occasionally require some physical labour in supporting events and other duties as required.A flexible schedule is required as this position involves occasional evening and weekend commitments and some travel. In consideration of the population Campfire Circle serves, the incumbent is a non-smoker.COMPENSATION & BENEFITSThis position is for an existing vacancy and offers a competitive hiring range of $55,000 - $65,000. Campfire Circle is invested in our staffs health, wellness and career growth. As part of the total compensation package for this role, we offer a comprehensive benefits package, with premiums fully paid by the organization with the exception of Long Term Disability, including $4,000 annually for mental health practitioners, a wellness benefit up to $500 annually, an accelerated RRSP matching program up to 5% of base salary, paid vacation time plus a paid winter shutdown period up to eight days, flexible hybrid work arrangements, and on-going professional development.
