As the Executive Assistant, you will play a crucial role in the smooth functioning of both the business operations and the Presidents personal life. You must be a self-starter with a proactive mindset, capable of anticipating needs and taking initiative. This is a multi-faceted role that requires a sophisticated individual who can act as a liaison project manager, and assistant in various capacities. You will be responsible for everything from managing business travel and curating events to handling personal errands and tasks for the President and his family. This role is the right hand to a President with a demanding, constantly changing schedule, significant business responsibilities, and a busy young family.A unique, rewarding opportunity for an individual who really enjoys a variety of responsibilities, high-discretion work and enjoys learning new things.Responsibilities:Executive Support & Office ManagementManage and optimize the Presidents constantly changing calendar.Coordinate internal/external meetings, agendas, briefing materials, and follow-ups.Maintain oversight of the Office of the President.Serve as the Presidents primary point of contact when he is out of office.Manage inbox, communications, and priorities with sound judgment and speed.Implement systems, structure, and process across the office.Business Operations & Finance Administration:Work with and support the bookkeeper and accountant on financial, document and expense management on a regular basis.Manage accounts payable, invoices, expense submissions, and reconciliations.Support budgeting and financial tracking for business and personal matters.Maintain organized records across multiple accounts and vendors.Oversee multiple residential properties and day-to-day expenses and tenant needsTrack rent, renewals, mortgage dates, and key financial obligations.Schedule trades, repairs, contractors, and property maintenance.Support leasing: coordinating showings, screening tenants, managing documentation.Pay all bills and taxes, mortgages and renewalsTravel & Logistics Management:Book and manage complex business and personal travel with zero errors.Handle last-minute changes, cancellations, and re-routing with accuracy.Prepare detailed itineraries, confirmations, and travel documents.Potential to travel with the President on busy business tripsPersonal Support & Household Administration:Pay household bills, track budgets, and maintain all ongoing home administration.Coordinate household vendors, housekeeping, contractors, and handyman services.Manage deliveries, dry cleaning, returns, personal errands, and ongoing logistics.Source and arrange healthy meals during workdays.Oversee schedules, appointments, and program registrations.Business & Event Coordination:Plan and organize offsite meetings, investor trips, staff outings, and team-building events.Collaborate on curating business ideas, supporting strategic initiatives, and managing special projects.Organize internal and external events, from logistics to execution.Communications & PR Support:Working closely with the Chief of Staff, support light marketing activities: drafting posts, coordinating content, simple design.Assist with communication initiatives, presentations, and brand-related tasks.Holistic Support for Well-being:Assist with promoting a healthy lifestyle for the President, ensuring support for physical and mental wellness, aligning with his demanding role.Are you aligned with our Mission, Vision and Values?Our Mission is to advance our client-first philosophy by managing investor capital with the highest levels of professionalism and integrity.
