Job Title: Office Manager Reports to: President Status: Full-time, Permanent Location: Edmonton, AB (On-site) Salary: $70k - $75k We are seeking an Office Manager to ensure the smooth and efficient operation of a consulting firm''s corporate and administrative offices. You will play a key leadership role within the senior management team, overseeing administration, accounting, finance, human resources, and quality systems to ensure the company runs effectively and efficiently. What You Will Be Doing: Leadership and Supervision Oversee and coordinate daily office operations across administration, accounting, and HR. Supervise administrative and financial staff, ensuring deadlines and accuracy standards are met. Lead hiring, training, and performance evaluations for office and administrative staff. Ensure company policies, procedures, and documentation control systems are current and consistently applied. Promote effective communication, collaboration, and accountability across departments. Office and Financial Administration Manage all administrative functions to ensure smooth office operations. Oversee accounts receivable, accounts payable, payroll, and monthly financial reporting. Maintain financial controls, ensuring accurate and timely financial statements. Coordinate with external accountants and consultants for audits, fiscal year-end, and reporting. Approve timesheets, vacation scheduling, and staff expenses. Manage vendor relationships, service contracts, and office equipment maintenance. Handle banking communications and corporate credit card management. Prepare budgets, assist with forecasting, and track department expenditures. Human Resources Administration Serve as the primary HR representative, supporting recruitment, onboarding, and offboarding processes. Maintain accurate and confidential employee records and personnel files. Manage employee benefits, GRSP updates, and related administrative changes. Coordinate staff training, development, and performance reviews. Administer payroll processing, ensuring timeliness and compliance with legislation. Corporate and Executive Support Provide administrative support to the President and senior management team. Prepare and distribute financial and operational reports for leadership and shareholders. Plan and coordinate executive meetings, conferences, and board sessions. Manage contracts, project documentation, and recordkeeping systems. Ensure all financial reporting and corporate filings are completed on schedule. Systems and Process Management Maintain and improve administrative and accounting systems, tools, and technology. Implement process improvements to enhance efficiency and accuracy. Ensure data integrity and secure record storage across all systems. Who You Are: Minimum 10 years of progressive experience in office administration and accounting. Previous management or supervisory experience required. Diploma or certificate in Office or Business Administration an asset. Strong understanding of GAAP accounting principles and financial reporting. A proven leader with strong organizational and people management skills. Detail-oriented, reliable, and accountable. Able to manage multiple priorities in a fast-paced, dynamic environment. A problem solver who takes initiative and drives results. Professional, composed, and an excellent communicator. Skilled at balancing hands-on operational duties with strategic oversight.
