WHAT YOU WILL BE DOING: The Executive Assistant works closely with the Executive Director to support the work of the OHT across strategy, operations, community engagement, and system transformation. This is not a traditional administrative role. It is ideal for someone who is energized by working in the ''grey,'' enjoys solving problems creatively, and thrives in a collaborative, fast-moving, multi-partner environment. You will help bring structure to complexity, support key initiatives, build relationships, and ensure the OHT''s work runs smoothly. We value diverse career paths and transferable experience. The successful candidate will work directly for the Elgin OHT, with STEGH as the paymaster. KEY RESPONSIBILITIES: Strategic & Operational Support Support the Executive Director with planning, coordination, and day-to-day operational activities Assist with strategy development, project coordination, and implementation activities across all OHT workstreams Draft and prepare materials for diverse audiences (e.g., briefing notes, presentations, reports, contracts) Coordination & Workflow Manage calendars, scheduling, workplans, and meeting logistics with a high degree of independence Coordinate and attend meetings, capture clear action items, and support follow-through across teams Monitor workflows and office practices and propose improvements to enhance efficiency Relationship-Building & Communications Serve as a primary point of contact for OHT members, partners, and other interest holders in the community Support engagement activities, events, and large-group sessions (virtual and in-person) Help maintain clear, timely communication across a wide network of partners Systems, Data & Resource Support Support tracking of financial expenditures and project budgets Maintain the OHT''s SharePoint site and organize resources for ease of access Assist with simple data interpretation or visual materials (e.g., updating templates, supporting presentations) WHAT YOU MUST HAVE: Diploma/degree in office administration, business, communications, community development, or a related area or equivalent experience 3+ years of experience in roles involving coordination, operations, project support, executive administration, or similar work Experience working in a fast-paced or complex environment with multiple partners Strong understanding of the Elgin community Strong organizational and coordination skills with the ability to juggle multiple priorities Relationship-building skills and a collaborative, people-centred approach Adaptability and comfort working in a dynamic, evolving environment Excellent written and verbal communication skills Experience supporting leaders or coordinating complex work involving multiple partners Discretion and sound judgment, especially when managing sensitive or confidential information Advanced digital literacy, including Microsoft 365, Teams, Zoom; experience with design tools or platforms (e.g., PowerBI, website updates) is an asset Commitment to equity, inclusion, and culturally safe practices Ability to regularly attend work in accordance with the Attendance Support Program Acceptable performance record that is aligned with STEGH values and Code of Conduct Access to reliable transportation required HOURS: Flexibility is required to support meetings and events as needed Hybrid work environment Ready to Join the Team?
