Job Description The Administrative Assistant, Volunteer Services will participate in the volunteer engagement efforts for the department, while supporting a wide range of administrative activities within the volunteer management cycle. We are looking for: A part-time Administrative Assistant, Volunteer Services (3 Month Contract) Hours of Work: Monday and Wednesday 8:30am - 4:30pm + one other weekday that is flexible 8:30am - 1:00pm Reports to: Supervisor, Volunteer Resources Responsibilities Understand the Canadian Code for Volunteer Involvement and Assist in ensuring the standards are followed Provide regular phone support to volunteers Generate crystal reports and analyze trends as needed Compile monthly hour reports for volunteers Staff agency booth at recruitment fairs Support volunteer recognition and retention activities Generate mailings to clients and volunteers as required Support MOW staff and volunteers as needed Oversee the matching of clients and volunteers where appropriate Risk, Health and Safety Management Identifying and reporting health and safety incidents and concerns in a timely manner to the appropriate supervisors and/or funders, documenting incidents in EasyCare and escalating appropriately to the designated supervisors as outlined in the Client Safety Reporting policy (C Participating in health and safety processes and procedures Participating in maintaining a safe workplace environment by cultivating a positive safety culture and encouraging best practices to promote both staff and client safety and well-being Participating in all health and safety training initiatives on a regular basis Taking proactive action against client incidents within your scope of practice Being actively involved in the improvement of the reporting system to prevent future reoccurrences Facilitating the planning discussion in the preparation stage prior to disclosure, with the goal of enabling a supportive and effective conversation. Promoting a culture of safety by being responsible for encouraging blame-free reporting. Qualifications High School Diploma, GED, or equivalent Must have 1-2 years of administrative assistant experience Ability to work with volunteers and students to enhance their experience Excellent oral and written communication skills in both English and Russian Strong computer skills in Microsoft Office, including Excel Must be a team player and willing to assist where needed in the department Strong multitasking ability Volunteer Management background an asset or experience as a volunteer Additional information Circle of Care is committed to fostering an inclusive, accessible environment, where all employees, volunteers and clients feel valued, respected and supported.
