Allocations Clerk Salary Range $ $30.97/hour Band 4 (35 hours/week) Full Time Position Posting Close Date: December 16, 2025 Windsor Essex CHC provides well-maintained, safe and affordable community housing in a respectful and fair manner. The Allocations Clerk must exercise tact and diplomacy when dealing with CHC customers and represent CHC in a positive manner. Working under the supervision of the Manager, Property Administration, and part of the Property Management team, the Allocations Clerk is responsible for allocating vacancies to applicants from the CHR Wait List and current CHC tenants on the Corporation''s internal transfer List. The Allocations Clerk will maintain vacancy lists, oversee the process of Lease Signing and resident setup, and other related duties. Primary Duties and Responsibilities: Offering vacant rental units to applicants, including identifying the applicant as ''On Offer'' in Rent Caf and following all Yardi related processes, as required Using knowledge of CHC residential stock and district portfolio details in order to meet the individual needs of each applicant/household for offers to new applicants and CHC resident transfers. Transferring tenants in accordance with the CHC Transfer Policy, including identifying them as ''On Offer'' in Rent Caf and coordinating with and supporting the Operations Administrative Clerk Communicating with selected applicants/tenants by phone, or in writing by letter or email, regarding offers, viewing units, receiving completed income forms and other supporting documents necessary for the rent calculation, and scheduling move-in details Updating applicant/transfer records in Rent Caf to ''Housed'' and adding the new tenancy in Yardi Voyager by using the ''Submit To Voyager'' functionality in Rent Caf Calculating rental rates according to the Housing Services Act and Residential Tenancies Act and performing the move-in RGI certification in Yardi Voyager Preparing data and monthly reports on turnovers, applicants housed, tenants transferred, etc. as required. Compiling all new tenancy documentation packages, including preparing the Lease Agreement, cutting keys for all viewings and new move-ins for designated areas, and creating picture access cards/fobs Scheduling the Lease signing appointment, which includes making the first payment and explaining all documents in the new tenancy documentation packages (including a full review of the Lease and all pertinent clauses, a review of all CHC rules and regulations, and the signing of the lease with tenant) Providing the new tenancy documentation package and all related forms to the receiving site office Updating the Allocations Worksheet generated weekly for designated portfolio. Working with Property Managers to ensure vacancies are ready for occupancy. Ability to read, understand and comply with appropriate legislation such as the Housing Services Act, Residential Tenancies Act, and CHC internal policies. Assisting with modifications to CHC supporting documents for allocations and transfer processes Exercising good judgement interpreting Tenant Placement policies and procedures and determining scheduling and priority of own workload. Provide primary support and back-up to the Operations Administrative Clerk for all unplanned absences and scheduled vacations, including coverage for all keys and cards for all CHC properties, if required. Other duties as assigned. Minimum Qualifications: At CHC discretion, an equivalent combination of work experience and secondary education in a relevant field may be considered where the equivalent is greater than the minimum criteria for the position. High school diploma or GED (General Educational Development). Minimum one (1) year administrative related experience, with demonstrated customer service and scheduling skills. College Diploma or University Degree in business or equivalent field of study considered an asset. Strong interpersonal and communication skills (oral and written). Confidentiality, tact and patience in dealing with diverse clientele and visitors. Superb organizational skills, with the ability to coordinate with off -site locations to obtain/exchange required information. Strong knowledge of Microsoft Office products (Word, Excel, Adobe, Outlook) and the ability to use in house software accurately (Yardi Voyager, Rent Caf). Ability to multi-task, prioritize duties, and complete assignments accurately and expeditiously and with minimum supervision is essential. Bilingual would be considered an asset. Familiarity with CHC''s Policies and Procedures, primarily within tenant administration, and awareness of common income sources and legislation that would affect this position is an asset. Knowledge of CHC''s residential stock and districts'' portfolios is an asset. Ability to perform clerical support duties, where required. Experience in dealing with a diverse client group is beneficial. This is a Bargaining Unit position. You will be required to work in a smoke-free environment.
