Job Title: Minor Hockey Rep Tryouts Facilitator Association: AMHA (Abbotsford Minor Hockey Association) Location: Abbotsford, BC Job Type: Seasonal Contract (Paid Position) Compensation: Compensation will depend on experience. Job Summary The Abbotsford Minor Hockey Association (AMHA) is seeking a highly organized, independent, and professional Rep Tryouts Facilitator. This individual will serve as the central leader responsible for the end-to-end planning, execution, and administration of our entire rep tryout process. This is the key leadership role for ensuring our tryouts are fair, transparent, and professionally managed. Working in close collaboration with the AMHA Rep Tryout Committee, the Facilitator will manage all logistics, communications, and on-ice evaluation processes. This is a paid contract position requiring significant planning work leading up to the tryouts, and full on-site availability during the peak tryout period in August and September. Key Responsibilities 1. Planning & Logistics: Act as the primary project manager for the entire rep tryout process, from initial planning to final team selection. Collaborate with the Rep Tryout Committee to help develop, refine, and implement the official Rep Tryout Guidelines. Plan and schedule all on-ice sessions, including player skills days, goalie-specific evaluation sessions, and intersquad games. Design and manage all team rosters, player rotations, and goalie rotations to ensure fair and equal evaluation opportunities. Liaise with other minor hockey associations to schedule and manage exhibition games as part of the formal tryout process. 2. Personnel & Resource Management: Recruit, vet, and manage a team of qualified, independent evaluators for all age groups. Coordinate with AMHA Division Directors to organize and deploy a team of volunteers for administrative tasks (e.g., check-in, pinnie distribution). Accurately track all hours for independent evaluators and report them to the AMHA Treasurer for compensation. 3. Data & Administration: Oversee the entire process of evaluator score collection, ensuring data is captured accurately and efficiently. Use the collected scoring data to run the tryouts, make informed decisions for player releases, and assist in team formation, all in accordance with the tryout guidelines. Be the primary point of contact for all tryout-related communications, including website postings, mass emails, and timely responses to family inquiries. 4. On-Site & Family Management: Be present and available for all scheduled tryout ice times, serving as the lead on-site authority. Plan, organize, and host a mandatory pre-tryout information meeting for all participating families. Develop and implement a formal exit interview process for players released from the rep program, ensuring a professional and respectful experience. Qualifications & Skills Required: Proven experience in project management, sports administration, or a similar large-scale logistical role. Exceptional organizational, planning, and time-management skills. Strong and professional communication (written and verbal) and interpersonal skills. Must be confident in presenting to large groups (e.g., parent meeting). High proficiency with computers, spreadsheets (Google Sheets), and data management. Must be comfortable with numerical analysis and scoring data. A demonstrable network of contacts within the hockey community to recruit independent, high-quality evaluators. Ability to remain calm, objective, and professional under pressure and in high-stakes, emotionally charged situations. A deep understanding of minor hockey, player development, and modern evaluation principles. Must be available to attend planning meetings (virtual or in-person) and be fully available for all tryout dates in August and September. Preferred (Bonus Points): Direct experience using player evaluation software (e.g., TeamGenius) is a significant asset. Previous experience in a similar tryout facilitation role, or as a rep-level coach or manager.
