We look forward to having you on board This role is responsible for co-coordinating and controlling all activities pertaining to Quoting potential Groups and fulfilling group bookings including managing all modifications and customer requests. WHAT YOU''LL BE DOING Apply all procedures for group quoting and fulfillment activities. Coordinate all group travel logistics including flights, accommodations, transfers, and any other activities as needed. Liaise with suppliers, DMC''s and airline to ensure group requirements are met. Act as the main point of contact for assigned group accounts, delivering professional and timely service. Prepare & follow up on group quotes and fulfill group reservations. Support clients through the entire booking process to ensure evolving needs and modifications are addressed/communicated and deadlines are attained during the process, from initial quote to final booking, including payment process to payables and receivables. Liaise with the other departments involved in the booking process when needed. Communicate schedule changes to our clients: Advise our clients of any air and / or land modification affecting their bookings; Manage all group pre-registration files once product has been built in the system. Ensure agreements for contracted groups are consistent with group quotes. Prepare and send group amendments/adjustments to travel agencies Transmit all special requests and requested documents to proper intervening. Ensure proper documentation is forwarded to travel agencies. Follow through group accounting functions to ensure accurate invoicing, reconciliation, and reporting. Including balancing payments and the Group Accounting Summaries. Prepare and submit requested reports to management and suppliers. Promote the services of Air Canada Vacations to travel agencies. Work closely with the sales team to ensure client expectations are exceeded, as well as provide accurate details and information on group offers to our travel agent partners, as well as, to B2C customers. Maintain current and accurate group product knowledge, booking procedures and policies. Provide and maintain a high level of customer service and professionalism through telephone and public contacts. The above responsibilities are not intended to be all-encompassing. May perform other tasks as assigned by immediate supervisor. WHAT YOU BRING TO THE TEAM College diploma in Tourism and/or two (2) years experience as Reservation agent; Strong organizational and time management skills with the ability to manage multiple deadlines. Ability to prioritize work and solve problems. Strong communication and selling skills combined with initiative, flexibility and good judgment. Proficiency with both Excel and Microsoft Word Good knowledge of TTS; ARD and ACV product offering Customer-first mindset with a passion for delivering outstanding service. WHY WORK WITH US?
