We are looking for a reliable, caring, and organized individual to join our team in a dual office care coordinator and health care assistant role. Job Summary The Care Office Coordinator is the first point of contact for leads, clients, caregivers, and inquiries. This role includes answering phones, coordinating schedules for clients and care teams, and administrative support. You will be required to provide direct HCA support to clients based on operational needs. You will be paid for the hours that you are scheduled to work. Schedule 5 hours/day, Monday to Friday Hours of work will be discussed and agreed Occasional weekend or flexible weekday hours All hours worked will be paid according to BC Employment Standards Act (ESA) Key Responsibilities Client & Office Communication Answer incoming calls (first point of contact) Document and relay information accurately Communicate with clients, families, caregivers, and Care Planners Send follow-up emails and respond to inquiries Scheduling & Coordination Use Inflow Care and Alaya Care to support daily scheduling Arrange Care Planner visits and new client assessments Manage schedule changes, cancellations, and shift adjustments Coordinate caregiver and client schedules Caregiver Support Manage book-off requests and schedule updates Prepare letters and respond to caregiver inquiries Communicate changes promptly and professionally Administrative Duties Maintain records using Excel, Word, and OneDrive Prepare DocuSign forms and internal documentation Assist with recruitment (job postings, screening, collecting documents) Maintain LinkedIn, Facebook, and Instagram accounts with professional updates Additional Duties Provide HCA support when scheduled Support Care Planners in client visits as needed Contribute to a positive and client-focused team environment Qualifications Strong communication and customer service skills HCA Qualifications Current registration with BC Care Aid Registry Proficient with Microsoft Excel, Word, Outlook, and OneDrive Ability to learn care-management software (training will be provided) Organized, detail-oriented, and adaptable Able to work in a fast-paced environment Reliable, professional, and able to maintain confidentiality Comfortable using AI tools such as ChatGPT How to Apply Please submit your resume directly through Indeed.
