Job description: We are seeking a Project Coordinator to join our team with the intention of becoming a project manager within 6 months. This position is a supporting role to the Project Managers/Estimators for commercial construction and renovation projects. The Project Coordinator will prepare & assist with estimates of costs including site visits with subtrades, collection and assembly of sub trade bids and present to Estimators and/or Project Managers. In this position, the candidate will also be responsible for project document control, assisting with Project Change Orders, RFI''s, close out documents etc. under the direction of the Project Manager. Coordination : Act as a liaison between different teams involved in the project. Coordinate the delivery of construction materials ensuring timelines and accuracy of purchase orders effectively and accurately communicate relevant project information to the client and project team. - Budget Management : Assist in budget development and tracking expenditures throughout the project lifecycle. Work to minimize costs while maintaining quality and meeting project requirements. - Documentation : Keep accurate records of project activities, including contracts, permits, change orders, and correspondence. Ensure compliance with regulatory requirements and company policies. Review field inspection reports from consultants throughout lifecycle of the project. Attend site meetings with PM and distribute meeting minutes to all project team members - Estimating: Assist the PM in the review of contractor quotations to ensure compliance to bid documents. Attend client meetings with PM and assist with determination of project requirements. Assist the PM in the drafting and issuance of project proposal. Prepare Substantial Completion Certificates and ensure all required project close out documents are obtained - Risk Management : Identify potential risks and develop strategies to mitigate them. Proactively address issues to minimize disruptions and ensure project continuity. - Client Communication : Maintain regular communication with clients to provide updates on project progress, address concerns, and manage expectations. Foster positive relationships to encourage client satisfaction and future business opportunities. - Problem-solving : Actively problem-solve and resolve conflicts that may arise during the course of the project. Remain adaptable and responsive to changing circumstances to keep the project on track. - Continuous Improvement : Identify areas for process improvement and implement best practices to enhance efficiency and effectiveness in project management. Overall, your role as a project coordinator is pivotal in ensuring that construction projects are executed smoothly, on time, and within budget, while meeting quality standards and client expectations. Familiarity with other software tools for scheduling, budgeting, document management, and collaboration is also valuable. Work Experience: The successful candidate will have between 2-5 years of relevant experience such as: Project coordinator, project assistant, or project administrator. Education: Bachelor''s Degree or Certified Engineering Technologist (CET) : We prefer candidates with a bachelor''s degree in a related field such as construction management, or business administration. Relevant coursework may include project management, and construction technology. - Certifications : Project Management Professional (PMP) from the Project Management Institute (PMI), or other industry-specific certifications is an asset.
