Project Administrator Stone Countertops - Position Overview We are seeking a highly organized and detail-oriented Project Administrator to support the successful execution of stone countertop projects from sale to final installation. This role is critical in project details, administrative tasks, quality control documentation and clear communication between the team and our clients. The ideal candidate thrives in a fast-paced environment, can prioritize tasks for optimal efficiency based on urgency, and takes pride in keeping jobs accurate, organized, and on schedule. Key Responsibilities Manage and track countertop projects from order confirmation through installation Maintain accurate project files, job folders, and documentation Assist with schedule templating, fabrication, and installation dates Coordinate closely with sales, shop production, and installation teams Review job details, drawings, templates, and specifications for accuracy Perform post installation follow ups with clients Order materials as required for each project Communicate with customers regarding scheduling, updates, and requirements Track job status, timelines, and outstanding items Identify potential issues and escalate them before they impact schedules Prepare work orders and installation packages for shop and field crews Assist with invoicing, change orders, and project closeout Support continuous improvement of internal processes and workflows Day-to-Day Activities Confirm site readiness prior to templating and installation Maintain organized digital and physical project files Perform daily quality control of project information, documentation and files Support management with reports, job tracking, and workload planning Qualifications & Skills Experience in project administration, construction administration, or operations coordination Strong organizational and time-management skills Excellent written and verbal communication abilities High attention to detail and accuracy Ability to manage multiple projects in various stages simultaneously Comfortable working with drawings, measurements, and technical details Proficiency with office software and project tracking systems Ability to work collaboratively with production and field teams Preferred Experience Experience in stone countertops, cabinetry, construction, or renovation industries Familiarity with templating, fabrication, and installation workflows if preferred Understanding of shop production and field scheduling What We Offer Competitive wage based on experience Opportunity to grow with a stable and expanding company Supportive team environment focused on quality and customer satisfaction Training and development opportunities Job Types: Full-time, Fixed term contract Contract length: 6 months Pay: $20.00-$25.00 per hour Expected hours: 30 40 per week Work Location: In person
