Trademark Group of Companies is seeking a highly capable Executive Assistant to support senior leadership, including the Vice President. Key Responsibilities Serve as the primary point of contact between executives, internal teams, and external clients Manage, monitor, and triage all incoming communications (email, calls, messages), ensuring timely and appropriate responses Draft, edit, and prepare professional correspondence, reports, and presentations Coordinate complex calendars, meetings, and frequently changing schedules Proactively identify conflicts, deadlines, and priority issues before they escalate Arrange domestic and international travel, accommodations, and detailed itineraries for multiple executives Receive and interact with incoming visitors in a professional manner Schedule, coordinate, and prepare meeting rooms, including lunches and refreshments as required Prepare reports and documentation as needed Manage and reconcile executive expenses Support implementation and adherence to company policies Liaise with internal departments and staff as required Handle personal and ad-hoc executive support duties as assigned Qualifications & Skills Exceptional time management, organization, and prioritization skills Proven ability to work calmly and efficiently in a high-pressure, fast-paced environment Strong judgment with a demonstrated ability to maintain strict confidentiality Excellent written and verbal communication skills with high attention to detail Very strong typing and transcription skills (minimum 80 WPM; dictation required) Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Professional, polished verbal and written communication style Bilingualism is considered an asset Requirements Valid G driver''s license and access to a reliable vehicle (required) Availability to work Sundays and overtime as requested Ability to work on-site Benefits Casual dress code Company events Dental care Vision care Life insurance On-site parking Job Types: Full-time, Permanent Pay: $41,651.29-$76,801.35 per year Benefits: Dental care Extended health care Work Location: In person
